In this vital role, you will coordinate and manage the scheduling of surgical procedures, ensuring seamless communication between patients, surgeons, and clinical staff. Your proactive approach will help optimize operating room utilization, improve patient experience, and support efficient clinic operations. The ideal candidate is energetic, detail-oriented, and possesses excellent communication skills to thrive in a fast-paced medical environment. Responsibilities Schedule surgical procedures accurately within electronic health record (EHR) systems such as Iqueue and Athenahealth ensuring documentation is complete. Confirm patient appointments, prepare preoperative instructions and documents, and communicate scheduling details clearly to patients and clinical teams. Review medical records and documentation to verify patient eligibility and ensure compliance with HIPAA regulations and clinical confidentiality policies. Coordinate with physicians, nurses, anesthesiologists, and administrative staff to optimize operating room schedules and reduce conflicts or delays. Manage patient inquiries via phone or electronic communication with professionalism and care, providing exceptional customer service throughout the scheduling process. Maintain accurate records of appointments, cancellations, reschedules, and related documentation in accordance with health information management standards. Assist with billing processes by understanding medical coding (CPT codes, ICD-9/10) and insurance requirements such as Medicare or private payers to facilitate smooth claims processing. Qualifications Proven experience in medical scheduling within a clinical or outpatient setting; clinic experience preferred. Strong knowledge of EMR/EHR systems including Epic, Meditech, Athenahealth or similar platforms. Familiarity with medical coding (CPT, ICD-9/10), medical billing procedures, and health insurance policies. Excellent computer skills including proficiency in Microsoft Office Suite; typing speed of at least 10-key for efficient data entry. Exceptional organizational skills with the ability to multitask in a busy healthcare environment. Bilingual abilities are a plus to effectively serve diverse patient populations. Prior experience in medical administrative support or front desk operations highly desirable. Knowledge of HIPAA regulations and clinical confidentiality policies to ensure patient privacy at all times. Strong phone etiquette, customer service orientation, and effective communication skills to handle patient inquiries professionally.
