We have an immediate opening for a full-time Medical Procedure/Surgery Scheduler, seeking employment in a fast-paced environment. This position works out of the main office (centrally located in Sacramento, CA). The Procedure Scheduler is a scheduling coordinator between the clinic and all hospital, external incoming contracted physicians, and ASC/POL procedures. This position will interact with medical staff and patients concerning schedules, insurance verification and supply/anesthesia requirements. This individual is responsible for obtaining all required information to register a patient. With utmost importance, works with medical assistants, billing and nursing staff, and physicians to provide excellence in patient care. Will execute clinic protocols for patient care as directed according to established standards in accordance with Sacramento Heart & Vascular Medical Associates (SHVMA) guidelines.
- Scheduling patient cases at the Sacramento Heart Ambulatory Surgery Center (ASC) for internal providers and external physicians.
- Scheduling patient cases with Hospital partners for internal providers.
- Obtains/verifies authorizations for procedures/surgeries.
- Coordinate procedures on appropriate schedules and calendars (Athena, google calendar platform), and effectively communicate with all parties involved.
- Provide and respond to patients: instructions/preparation needs for surgery/procedure, to include date, time, and location and any special instructions, to include transportation needs.
- Coordinate and schedule patient's chest X rays on day of procedure.
- Schedule post-procedural appointments with the patient's cardiologist or vascular physician.
- Provide patients with lab orders for ASC/POL procedures or necessary imaging.
- Complete reminder calls to patients, prior to scheduled procedure(s).
- Update/review provider templates: Schedule and reschedule patients to maximize schedules.
- Monitor voicemails; return calls within 2 hours.
- Verify and scan all completed patient paperwork to EMR.
- Maintain ASC Front desk coverage on ASC Procedure days to facilitate patient check in and check out and assist with communication to patients and their families and emergency medical personnel when necessary.
- Communicate with providers, vendors, staff and patients in a professional and courteous manner, that meet patient safety and Sacramento Heart & Vascular Medical Associate requirements.
- Answer and respond to calls, take detailed messages and/or transfer calls to appropriate staff.
- Input accurate patient information, demographics and insurance into EMR.
- Pick-up and distribute correspondence memos, letters, faxes, and forms.
- Perform work-related duties as directed. Qualifications and Education Requirements
- HS Diploma/GED and completion.
- Bachelor's Degree preferred.
- Current CPR/BLS certification.
- Proficient with EMR systems.
- Preferred 2 years' experience as a surgery scheduler in a medical office (front and back).
- Experience with insurance eligibility and verification of authorizations.
- Ability to work in a fast-paced environment.
- Excellent written and verbal communications skills.
- Organizational and planning skills, ability to prioritize and multi-task and maintain accuracy and productivity.
- Proficiency in MS Office
- Bilingual preferred Working Conditions Frequent exposure to communicable diseases, toxic substances, medical preparations, and other conditions common to a clinic environment.
