Job Summary The Berhe Group, Inc. is seeking an organized, dependable, and family-centered CFTM Scheduling & Coordination Specialist to support our Child and Family Team Meeting (CFTM) program serving children and families involved with San Bernardino County Children and Family Services (CFS). This position is responsible for coordinating the scheduling process from the time a CFTM referral is received through confirmation of the meeting. The ideal candidate understands that successful CFTM coordination involves more than simply finding a date and time - it requires consistent outreach, family engagement, attention to required timelines, and coordination among multiple team members. Responsibilities Receive and review CFTM referrals and monitor required completion timelines. Contact CFS social workers, parents, caregivers, youth, and other identified team members to obtain availability. Coordinate meeting dates and times among multiple participants. Maintain consistent and professional communication with families, caregivers, social workers, and service providers. Send meeting confirmations, calendar invitations, virtual meeting links, and scheduling updates. Track and document all outreach attempts, responses, confirmations, and scheduling barriers. Monitor approaching deadlines and escalate cases when participants cannot be reached or scheduling barriers may impact timely completion. Maintain accurate information within referral and program tracking systems. Communicate scheduled meeting information and relevant updates to assigned CFTM Facilitators. Coordinate cancellations and rescheduling when necessary. Identify language, interpretation, communication, and other logistical needs that may affect participation. Maintain strict confidentiality of child, youth, family, and case information. Work closely with CFTM Facilitators and program leadership to support timely completion of referrals. Skills Experience in scheduling, case coordination, social services, behavioral health, child welfare, family services, or a related field preferred. Familiarity with Child and Family Team (CFT/CFTM) meetings or San Bernardino County CFS strongly preferred. Excellent organizational and time-management skills. Ability to manage multiple referrals, participants, deadlines, and follow-up tasks simultaneously. Strong telephone, email, and written communication skills. Comfortable communicating with families and professionals from diverse backgrounds. Persistent and proactive with follow-up while remaining professional and family-centered. Detail-oriented with strong documentation and tracking skills. Comfortable using electronic calendars, Microsoft Teams or similar virtual meeting platforms, email, and electronic tracking systems. Bilingual English/Spanish is a strong plus. Ability to maintain confidentiality and appropriately handle sensitive information. Must be able to pass a background check.
