Full Job Description Maintenance Operations Specialist Hourly Rate:
$30 - $33/per hour The Maintenance Operations Specialist is a hands-on operational role responsible for supporting maintenance activities across a multifamily residential property portfolio. This position works closely with the Head of Maintenance, property management, leasing staff, on-site managers, maintenance personnel, and vendors to ensure work orders, unit turns, repairs, and property maintenance are completed efficiently, timely, and within budget. The position combines regular property visits and inspections with office-based coordination, Yardi work-order management, vendor oversight, budgeting, and follow-up. Key Responsibilities Property Inspections & Field Operations Regularly visit properties throughout the portfolio to evaluate maintenance needs and follow up on outstanding work. Conduct move-out and vacant-unit inspections and document unit conditions. Determine repairs, replacements, cleaning, painting, flooring, and other work required to prepare units for leasing. Develop scopes of work and estimated budgets for unit turns. Conduct follow-up inspections to verify that work has been completed properly and units are rent-ready. Identify property maintenance issues requiring corrective or preventative action. Assist with property inspections and special maintenance projects as assigned. Unit Turns & Vacancy Preparation Oversee the vacancy-preparation process from move-out inspection through rent-ready completion. Create and coordinate work orders for required unit-turn work. Establish target completion dates and monitor progress against those dates. Coordinate maintenance employees and outside vendors involved in unit turns. Monitor unit-turn costs and identify unnecessary or excessive expenditures. Verify completion and quality of work before units are released as rent-ready. Coordinate closely with the Leasing Department regarding vacancy status, expected completion dates, and units scheduled for leasing or move-in. Work Order Management Review maintenance work orders in Yardi Voyager and ensure they are properly assigned, updated, and completed. Monitor open and aging work orders across multiple properties. Follow up with maintenance staff, on-site managers, and vendors regarding incomplete or delayed work. Review work-order descriptions and supporting information for accuracy and completeness. Ensure completed work orders are properly documented and closed in Yardi. Assist with prioritizing emergency, urgent, and routine maintenance requests. Vendor Coordination & Cost Control Coordinate and follow up with vendors performing repairs, unit turns, and other maintenance work. Review vendor scopes, proposals, pricing, and completed work. Obtain or assist with obtaining competitive pricing when appropriate. Verify that vendor work corresponds with the authorized property, unit, and work order. Identify pricing discrepancies, duplicate charges, incomplete work, or work performed outside the approved scope. Assist with maintaining consistent vendor pricing and controlling maintenance costs across the portfolio. Escalate performance, quality, scheduling, or pricing concerns to management. Maintenance Operations Support Maintenance Team with day-to-day maintenance operations across the portfolio. Coordinate with maintenance staff regarding work assignments, scheduling, property needs, and outstanding issues. Assist in monitoring maintenance workload and identifying properties or employees requiring additional support. Help ensure emergency repairs and high-priority maintenance issues receive appropriate follow-up. Assist with preventative maintenance programs and recurring property maintenance. Support implementation and enforcement of company maintenance procedures and standards. Documentation & Reporting Maintain accurate maintenance and work-order records in Yardi Voyager. Prepare unit inspection reports, scopes of work, estimated budgets, and status updates. Track outstanding work orders, unit turns, vendor assignments, and completion dates. Maintain appropriate documentation supporting vendor work and maintenance expenditures. Provide management with updates regarding delayed work, significant property conditions, vendor issues, and budget concerns. Qualifications Experience in multifamily property maintenance, property operations, construction, facilities operations, or a related field. Strong understanding of apartment repairs, unit turns, and general building maintenance. Ability to inspect units and identify required repairs and improvements. Experience coordinating maintenance employees and outside vendors. Ability to prepare scopes of work and evaluate vendor pricing. Strong organizational and follow-up skills. Ability to manage multiple properties, projects, and deadlines simultaneously. Comfortable working both in the field and in an office environment. Strong written and verbal communication skills. Proficiency with property-management or work-order software; Yardi Voyager experience strongly preferred . Basic proficiency with Microsoft Office, including Outlook and Excel. Valid driver's license and reliable transportation for regular travel between properties. Position Requirements This is not primarily a maintenance technician position . The Maintenance Operations Specialist is responsible for inspecting, coordinating, documenting, monitoring, and following through on maintenance operations across multiple properties rather than serving as the individual assigned to perform routine repair work. The position requires regular travel to properties as well as office-based administrative and operational work. The successful candidate must be comfortable moving between field inspections, vendor and employee coordination, Yardi work-order management, budgeting, documentation, and management follow-up.
Pay:
$30.00 - $33.00 per hour Expected hours: 40.0 per week
