This position coordinates pediatric GI procedures from scheduling and insurance authorization through pre-procedure preparation, procedure completion, results, and follow-up. Responsibilities Schedule procedures, pre-op/post-op appointments, and diagnostic testing. Obtain and track insurance authorizations, referrals, and eligibility. Coordinate with hospitals, surgery centers, anesthesia departments, laboratories, and other outside facilities. Communicate procedure details, preparation instructions, bowel cleanouts, fasting requirements, and arrival information to parents/guardians. Review and communicate anticipated co-pays, deductibles, and co-insurance according to office policy. Maintain accurate procedure calendars, patient records, and authorization tracking. Obtain and track procedure reports, pathology results, and other outside records. Coordinate post-procedure follow-up appointments. Communicate professionally and compassionately with families and appropriately escalate clinical questions to the physician or clinical staff. Maintain HIPAA compliance and assist with other office administrative duties as needed. Qualifications Previous experience in medical scheduling, procedure coordination, referrals, or prior authorizations preferred . Specialty, pediatric, GI, or surgical office experience is a plus. Excellent organizational and communication skills. Strong attention to detail and ability to manage multiple tasks and deadlines. Professional, dependable, and team-oriented. Comfortable working with pediatric patients and their families. Experience with electronic medical records and insurance verification preferred. Bilingual in Spanish preferred.
