Job Description
Description We are seeking a proactive, polished, and highly organized Operations Coordinator / Receptionist to support day-to-day office operations in a fast-paced corporate environment. This role serves as the first point of contact for guests, vendors, and employees while also providing broad administrative and operational support to help keep the office running smoothly. Key Responsibilities + Serve as the primary front desk contact by greeting visitors, vendors, and employees in a professional and welcoming manner + Answer and route incoming calls and respond to general front office inquiries + Maintain the reception area, lobby, meeting spaces, and common areas to ensure a clean and professional appearance + Support daily office operations and routine administrative procedures + Act as a point of contact for general office needs and help troubleshoot day-to-day operational issues + Manage incoming and outgoing mail, shipping, deliveries, and package distribution + Provide administrative support to employees and internal teams as needed + Partner with executive support and operations teams on scheduling, coordination, and general office support tasks + Create, update, and maintain spreadsheets, documents, and presentation materials + Assist with internal communications, office signage, and light design work using tools such as Canva + Support planning and execution of office events, employee activities, and onsite meetings + Provide general backend administrative support to the operations team Requirements + 1-2 years of experience in reception, front desk coordination, office administration, or a similar support role + Experience in a fast-paced corporate or technology environment preferred + Availability to work onsite in Sunnyvale, Monday through Friday, 8:00 AM to 5:00 PM + Excellent interpersonal, customer service, and written/verbal communication skills + Strong organizational skills with close attention to detail + Ability to manage multiple tasks and priorities effectively + Demonstrated ability to collaborate across teams and departments + Proficiency with Google Workspace, including Gmail, Docs, Sheets, and Drive + Experience with Canva or similar design tools preferred + Bachelor's degree or equivalent professional experience preferred + Ability to remain professional, resourceful, and composed in a fast-moving environment TalentMatch® Robert Half is the world's first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
