Job Description

Description We are looking for an Operations Specialist to support philanthropy and development operations for a mission-driven nonprofit in Sunnyvale, California. This Long-term Contract position is ideal for someone who enjoys managing data, coordinating administrative processes, and helping fundraising efforts run smoothly behind the scenes. The right candidate brings strong attention to detail, sound judgment, and a collaborative approach to supporting donor engagement and organizational goals.
Responsibilities:
  • Maintain and update donor and constituent information within Raiser's Edge NXT or a comparable CRM system, ensuring records remain complete and reliable.
  • Accurately process contributions, pledges, and related donor transactions while meeting established timelines and documentation standards.
  • Prepare reports, segmented lists, mailing files, and data exports to support fundraising activity and internal decision-making.
  • Draft and coordinate donor acknowledgements, tax receipts, and other written communications related to giving.
  • Provide administrative assistance to the development team through organized recordkeeping, filing, and day-to-day operational support.
  • Assist with annual giving efforts, donor stewardship initiatives, and campaign-related outreach activities.
  • Coordinate mailing projects and help assemble materials used for donor communications and engagement efforts.
  • Conduct basic research on donors and prospects to support relationship-building and future fundraising opportunities.
  • Support planning and logistics for donor events and other engagement activities as needed. Requirements
  • At least 2 years of experience in administrative support, fundraising operations, donor relations, development support, or a closely related area.
  • Hands-on experience working with Raiser's Edge NXT, Salesforce, Blackbaud, DonorPerfect, Neon, or another donor database or CRM platform.
  • Strong data entry capabilities with a high level of accuracy and close attention to detail.
  • Experience maintaining records, producing reports, and working with structured data in a detail-focused setting.
  • Proficiency with Microsoft Office applications, especially Excel.
  • Clear written and verbal communication skills with the ability to stay organized across multiple assignments.
  • Ability to work independently, manage shifting priorities, and contribute effectively within a collaborative team environment.
  • Previous experience in a nonprofit, educational, foundation, healthcare, or other mission-oriented organization is preferred.
