MED Source , Inc. is a small, established, family-owned business that has served the BioSkills and medical training industry for nearly two decades. We provide rental surgical equipment and instruments for surgeon-training labs, medical device companies, universities, hospitals, and medical education centers throughout the United States. Our business is built around providing dependable equipment and exceptional service. Our customers rely on us to deliver the correct equipment, on time and in proper working condition, for scheduled medical training events where accuracy and attention to detail are critical. We are currently seeking two dependable, detail-oriented Rental Operations Specialists to join our team. About the
Position:
The Rental Operations Specialist is a hybrid customer service and warehouse operations position. This is not a traditional desk-only customer service job. The successful candidate will be cross trained in both the administrative and hands-on operational sides of our rental business. On the customer service side, responsibilities include reviewing incoming rental requests, preparing quotes, processing rental orders, communicating primarily by email with customers, answering occasional phone calls, and preparing the paperwork required for warehouse fulfillment. On the operations side, the Rental Operations Specialist will learn the critical steps involved in preparing our rental equipment for shipment, including pulling inventory, inspecting and testing equipment, packing orders, preparing shipments, and processing returned equipment. Our goal is to develop team members who understand the entire rental process—from the initial customer request through the equipment's return, inspection, cleaning, and restocking.
Customer Service & Rental Coordination Responsibilities:
Monitor and respond to incoming customer emails and occasional phone calls in a timely and professional manner. Review customer rental requests and identify the equipment, quantities, dates, shipping information, and other details required to prepare an accurate quote. Enter customer and rental information accurately into the company's rental management software. Prepare and send rental quotes and related customer communications. Convert approved quotes into rental orders and verify that all required information is complete. Prepare accurate order paperwork for warehouse personnel to pull, inspect, test, and pack rental equipment. Communicate with customers regarding rental dates, shipping information, order changes, returns, and other rental-related questions. Follow up with customers when information is incomplete or additional details are required. Help resolve routine customer questions and concerns using established company policies and procedures. Maintain accurate customer, order, and rental records. Work closely with warehouse and operations personnel to ensure orders are complete and ready to ship on schedule. Follow established MED Source rental policies, procedures, and customer-service standards. Warehouse & Rental Equipment Responsibilities The Rental Operations Specialist will be trained to assist with all major warehouse functions, including: Pulling equipment and instruments from inventory based on rental-order paperwork. Verifying model numbers, quantities, accessories, and other order requirements. Inspecting and testing rental equipment prior to shipment. Learning the proper operation and testing procedures for MED Source rental equipment. Packing equipment and instruments securely and according to company procedures. Preparing rental cases, shipping labels, paperwork, and other materials for outgoing shipments. Assisting with FedEx and other carrier shipping and receiving activities. Receiving and unpacking returned rental equipment. Verifying that all rented equipment, instruments, accessories, cables, and components have been returned. Identifying and reporting missing or damaged rental items. Cleaning rental equipment and instruments according to established company procedures. Returning equipment to its proper inventory location after inspection and cleaning. Maintaining organized inventory and warehouse areas. Helping ensure that rental equipment is ready and available for upcoming customer orders. Additional Operations & Shop Support As needed, assist the Operations Manager and Warehouse Manager with: Rental case and crate maintenance and repair. Equipment organization and inventory projects. Basic shop and fabrication projects. 3D-printing projects. General warehouse maintenance and organization. Other operational projects necessary to support the business.
Qualifications Required:
High school diploma or equivalent. At least one year of customer service, office support, order processing, warehouse, or related work experience. Strong written and verbal communication skills in English. Comfortable communicating professionally with customers by email and phone. Basic proficiency with Microsoft Word and Excel and the ability to learn new computer software. Strong attention to detail and commitment to accuracy. Good organizational and time management skills. Ability to manage multiple priorities in a deadline-driven environment. Dependable attendance and punctuality. Willingness to perform both computer/office work and hands-on warehouse work. Ability to follow detailed procedures and checklists. Ability to work independently while also functioning effectively as part of a small team. Ability to lift and carry up to 40 pounds. Not Required:
Previous experience with rental operations, order processing, shipping/receiving, inventory, or warehouse operations. Experience with FedEx or other shipping systems. Familiarity with medical equipment, surgical instruments, electronics, or mechanical equipment. 3D-printing experience. Experience using basic shop tools such as table saws, routers, sanders, drills, and other hand or power tools.

This position is best suited for someone who enjoys variety and does not want to spend the entire workday sitting at a desk. You should be equally comfortable responding to a customer email, preparing an accurate rental order, and then moving into the warehouse to help inspect, test, pack, ship, or receive equipment. Because we are a small company, every team member plays an important role. We value employees who take ownership of their work, communicate well, help coworkers when needed, and understand that completing a task correctly and on time directly affects our customers. Reliability and attention to detail are especially important. Our rental equipment is frequently used in scheduled surgeon training and medical-education labs. A missed item, incorrect shipment, or improperly tested piece of equipment can have a significant impact on a customer's event.
Work Environment & Physical Requirements:
This position works in both an office and warehouse/shop environment and requires regular movement between the two. The employee must be able to: Sit and work at a computer for portions of the workday. Stand and walk for extended periods while performing warehouse duties. Bend, reach, lift, carry, pack, and unpack rental equipment. Safely lift and carry items weighing up to 40 pounds. Work around shipping cases, equipment, hand tools, and standard warehouse/shop equipment. Maintain a clean, organized, and safe workspace.
