We're committed to bringing passion and customer focus to the business. We are seeking a dedicated, organized, and detail-oriented Operations Specialist to join our dynamic team. This position plays a critical support role across Operations, Safety, Maintenance, and Administrative functions . The Operations Specialist will be responsible for overseeing office and operational supply purchasing, inventory management, purchase order processing, receiving activities, vendor coordination, accounting support, documentation management, and shipping and receiving functions. The ideal candidate will possess strong organizational and communication skills, excellent attention to detail, and the ability to effectively manage multiple priorities in a fast-paced environment while supporting safe, compliant, and efficient fleet operations. Schedule Monday through Friday 8:00 AM - 4:30 PM Primary Duties and Responsibilities Create, issue, process, receive, and close purchase orders (POs) within company systems. Receive, verify, and reconcile supplies, materials, equipment, and inventory against purchase orders. Assist with invoice processing, coding, invoice reconciliation, and accounting-related documentation. Maintain accurate records of purchases, receipts, vendor invoices, inventory transactions, and supporting documentation. Track and manage inventory levels of office supplies, safety equipment, operational materials, and maintenance-related items. Coordinate the ordering, receiving, and distribution of supplies and materials for all departments. Communicate with vendors regarding pricing, purchase orders, deliveries, shortages, returns, and invoicing discrepancies. Support shipping and receiving activities, including inventory tracking and documentation. Maintain organized files and documentation related to purchasing, inventory, operations, safety, and maintenance. Support compliance with company safety procedures, operational policies, and maintenance requirements. Collect, review, and maintain daily pre-trip and post-trip inspection reports. Monitor driver hours and operational records to support DOT compliance requirements. Review route times and service completion metrics to identify operational gaps and opportunities for improvement. Perform data entry and provide administrative support for maintenance, operations, safety, and accounting departments. Prepare reports, spreadsheets, and operational documentation as required. Perform other duties and responsibilities as assigned. Work Environment Typical office environment with occasional visits to maintenance, fleet, and warehouse areas. May require lifting and moving supplies, materials, equipment, and inventory items weighing up to 25-50 pounds. Full-time position, Monday through Friday, 8:00 AM - 4:30 PM. Occasional schedule flexibility may be required to support operational demands, special projects, or emergency situations.
