Job Description

Office Assistant and Scheduler Matrix Mediation is seeking two energetic, organized, and personable Office Assistants/Schedulers to join our busy and fast-paced mediation firm. This position is ideal for someone who enjoys working with people, thrives in a professional office environment, and can confidently juggle multiple tasks while maintaining a welcoming and polished presence. As one of the first faces clients and attorneys see when they enter our office, you will play a major role in creating a positive and professional experience for everyone who visits Matrix Mediation. We are looking for candidates who are friendly, detail-oriented, proactive, resourceful, and able to think quickly on their feet. Hospitality and customer service skills are highly valued in this role. Office Hours are from anywhere between 8:00 A.M. to 6:00 P.M. (Ability to work flexible shifts option) Responsibilities and Duties Scheduling for incoming and online appointments. Preparing Notice's . Preparing Settlement Agreements with Mediators Keep front desk tidy and presentable with all necessary material Greet and welcome guests Answer questions and show guests to their breakout rooms Answer all incoming calls and redirect them or keep messages Call and confirm the next day's mediations Prepare rooms and door signs for the next day's mediations Check, sort and forward emails Check and sort U.S. Mail for bookkeeper Monitor office supplies, including snacks and beverages Keep refrigerator and snacks stocked for guests hourly Prepare Notices E-fling of Reports Clerk of Courts Sign Request and or Doc U-Sign Zoom Help and Assistance with all Mediators Help prepare agreements for Mediators Stocking Food Kitchen Buying and stocking supplies when needed Available to run errands Qualifications and Skills High level proficiency in Outlook Calendar a MUST. Microsoft Word, using Doc U Sign, or Sign Request and/or top know hows. High school diploma or GED Problem-Solving Skills Bi-Lingual is most welcome Good Oral and Written Communication Skills Ability to multi-task, prioritize work efficiently and to adhere to deadlines. Detail oriented, but also able to multi-task or stop what you are doing and help guests or associates Must be able to work independently as well as in a team environment Able to take initiative and do what needs to be done, without being asked every day Helpful, outgoing, and resourceful Office experience not required, but you must have strong computer skills, specifically Microsoft Word and Microsoft Outlook.
