Full Job Description Job Summary:
The Operations Specialist is a dynamic, cross-functional role supporting both external business development and internal operational coordination for a home care agency. This individual will serve as a connector between field outreach, internal teams, and organizational leadership. The role combines relationship-building with referral partners, event marketing, operational execution, and administrative excellence—making it ideal for a flexible, people-centered professional with strong organizational skills.Key Responsibilities:
Operations & Administrative Support Provide day-to-day support to the Operations Manager to ensure smooth internal workflow and service delivery. Maintain and audit client/caregiver documentation in line with HIPAA and state/federal regulatory requirements. Assist with scheduling coordination, team communications, and frontline problem-solving. Generate internal reports, track key performance metrics, and identify areas for process improvement. Participate in interviews, team appreciation programs, and operational meetings. Support internal compliance reviews and assist with file checks, documentation audits, and protocol adherence. Marketing & Community Outreach Develop and execute strategic marketing plans to grow brand visibility and referral relationships. Conduct in-person outreach visits weekly to case managers, discharge planners, physicians, hospitals, and senior community partners. Represent the company at expos, conferences, resource fairs, and community networking functions. Deliver educational presentations to increase awareness of Medicaid Waiver programs and services offered. Build and maintain a marketing tracker including contact details, follow-ups, ratings, and visit notes. Cross-Department Collaboration Serve as a communication bridge between marketing, recruiting, operations, and clinical teams. Support execution of recruiting and marketing strategies aligned with operational goals. Collaborate with internal departments to streamline information sharing, reduce delays, and enhance overall workflow. Help plan and implement special projects or cross-functional initiatives as needed. Quality & Compliance Ensure that all operational and marketing activities comply with internal policies, HIPAA regulations, and Medicaid Waiver requirements. Participate in internal audits and reviews to ensure ongoing quality assurance. Conduct monthly client service calls and satisfaction checks as needed. Document and escalate any concerns related to service delivery, compliance, or quality of care. Promote a client-first culture rooted in respect, dignity, and continuous improvement.Qualifications:
High school diploma or equivalent required; Associate's or Bachelor's degree preferred. 2+ years of experience in home care, healthcare operations, or outreach/marketing. Knowledge of Medicaid Waiver programs preferred or willingness to learn. Excellent interpersonal and communication skills—both written and verbal. Proficiency with Microsoft Office Suite, mobile tools, and EMR or scheduling platforms. Ability to travel regularly within assigned territory.
