Under the direct supervision of the Office Manager and supports various departments, this position provides administrative and various clerical functions ensuring office operations remain efficient. In addition to typing, scheduling and filing, performs duties such as, payroll assistance, coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, and working on special projects. Also, answers routine and non-routine correspondence and assembles highly confidential and sensitive HR information. Deals with a diverse group of external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diverse workload
Qualifications and Requirements:
Must be 18 years of Age or older One (1) or more years experience as an Administrative Assistant. Excellent computer skills and proficiency using Microsoft Office Experience answering a multi-line phone system One (1) or more years' experience in the healthcare industry or a fast paced working environment. Familiar with Medical Terminology Must complete Mastercare's pre-employment and new hire process Must have strong communication skills Must be able to read, write and speak English Must be able to follow directions Must display a caring, positive attitude towards client and staff Employee should be timely and possess high regard for the integrity of the position including attendance. Ability to work effectively with standard office equipment including, computers, phones, printers, faxes Must be physically able to perform the duties of the position including: lifting up to 50 lbs., bending, stooping, sitting for long periods of time, and standing to accomplish duties Must have hearing acuity to hear spoken communications while on the phone or in person
Essential Duties:
Customer Service -Greeting all incoming visitors, clients, and employees Answer telephones; redirect as necessary and relay message accurately Effective use of the Call Center to relay messages and notes Daily Correspondence to include but not limited to: email, incoming and outgoing mail, and logs Scanning files and maintenance of employee personnel files Facilitate new applicant and application process Enter and maintain all data entry for applicants and employees in scheduling software. Support Staffing Coordinator and Office Manager as necessary with the recruiting and hiring process such as; job Postings, screenings, interviewing, orientations, and credentialing of potential and new employees. Prepare new hire paperwork and Orientation/Benefits packet Monitor and notify field staff of certification expirations and training requirements Print and audit reports pertaining to clients and employees Support Staffing Coordinator with scheduling in order to adequately cover new and existing client needs; organizes and prepares work schedules for employees several weeks in advance, fill vacant shifts Assists Payroll Department by collecting and confirming timesheets Marketing and community outreach; support Staffing Coordinator and Office Manager with marketing, meetings and trade shows in an effort to grow the office profitability. Support internal staff as necessary including Service Supervisors and management Extensive communication verbal and written with employees, clients and management Follow and comply with all related healthcare compliance regulations including; HIPAA Continually serve as point of contact for clients, field staff, and Service Supervisors Perform quality assurance calls/surveys to all clients according to the designated schedule Provides on-call staffing after hours and on weekends on a weekly rotating schedule Other duties necessary and required
