Job Description

Overview F LLC is seeking a proactive and detail-oriented Junior Operations & Office Coordinator to support the day-to-day activities of our U.S. branch. This is a junior-level position combining administrative, order management, service coordination, and commercial support responsibilities. The role provides exposure to different areas of the business and the opportunity to take on increasing responsibilities as our U.S. organization grows. Fluency in both English and Italian is required for regular communication with customers, colleagues, and our headquarters in Italy. Key ResponsibilitiesSpare Parts & Order Management Prepare quotations for spare parts and related services Process customer orders and monitor their progress Coordinate with headquarters and suppliers to support timely delivery Provide customers with order status updates Maintain accurate records of quotations, orders, and deliveries Invoicing & Payment Follow-Up Prepare and issue customer invoices Maintain accurate invoicing and payment records Monitor incoming payments and follow up on overdue accounts Coordinate invoice and payment information with headquarters, suppliers, and external accounting partners Administrative & Office Support Maintain organized records for orders, invoices, customers, and suppliers Support general office administration and day-to-day branch activities Assist with basic accounting coordination with headquarters and external accountants Maintain accurate and consistent internal documentation and records Service & Travel Coordination Organize travel arrangements for field technicians, including flights, rental cars, and accommodations Coordinate service schedules and technician availability Support logistics related to on-site service activities Assist with communication between customers and the service team Commercial Support Schedule meetings and customer appointments Support the preparation of quotations and commercial documentation Coordinate information between customers, sales, service, and operations Provide general administrative support to the sales team Trade Shows & Events Support the organization of trade shows and company events Coordinate travel, logistics, and related administrative activities Be available for occasional business travel, up to approximately 15 days per year Qualifications 1-3 years of experience in administrative, back-office, customer service, or operations support preferred Fluency in English and Italian , both written and spoken Strong organizational skills and attention to detail Ability to manage multiple priorities in a dynamic environment Professional communication and interpersonal skills Basic understanding of invoicing and administrative processes Proficiency in Microsoft Office, including Excel Experience with ERP or CRM systems is a plus What We Value We are building a lean and dynamic organization where people are expected to contribute, take initiative, and grow with the business.
