Job Description

Job Summary:
The Operations Administrator supports the HQ operations team by managing documentation, tracking compliance deadlines, and serving as a coordination point between Operations, Sales, and field supervisors. This role keeps jobs moving smoothly by monitoring timelines, maintaining accurate records, and proactively flagging issues before they become delays.
Key Responsibilities:
Follow up with Operations Supervisors on permit closures and outstanding punch-list items. Track closure timelines and escalate delays as needed. File inspection reports and maintain accurate records Upload and maintain required job documentation in the CRM, including manufacturer warranties. Ensure all required documents are uploaded to Company Cam prior to job start. Support the sales department with schedule change requests. Track jobs that have been rescheduled more than once and proactively notify affected customers and sales representatives. Coordinate the commercia call-ahead program. Follow up with Operations Supervisors on training deadlines. Monitor timecards for missing punches or punches applied to the wrong job. Maintain the dumpsters and lift tracking spreadsheet. Perform other duties as assigned.
Qualifications:
Background in construction or roofing preferred. Bilingual in English and Spanish preferred. Proficiency in Excel and experience with operational systems such as Company Cam or a CRM. Strong organizational skills and attention to details Ability to manage multiple deadlines and communicate proactively across departments.
Schedule & Work Environment:
Office-based with minimal travel (5-10%) Monday-Friday, 7:00AM - 5:00 PM, with occasional weekend availability as needed.
