Job Description
Position Overview The Office Administrator supports the day-to-day operations of the brokerage by processing real estate paperwork from new listing through closing. This position helps ensure files are complete, accurate, organized, and processed on time. Key Responsibilities Process new listings and review files for required documents, signatures, and information. Enter and maintain listing and transaction information in office systems. Process accepted contracts, amendments, addenda, extensions, and other transaction documents. Track important dates, deadlines, and missing paperwork. Communicate with agents, lenders, title companies, attorneys, and cooperating agents as needed. Prepare files for closing and ensure required documentation is received and properly filed. Process closed transactions and maintain organized electronic records. Assist agents and brokerage leadership with general administrative and transaction-related needs. Maintain confidentiality and professionalism when handling client and transaction information. Qualifications Strong organization and attention to detail. Ability to manage multiple transactions and deadlines. Strong written and verbal communication skills. Comfortable with email, electronic documents, spreadsheets, and online systems. Ability to work independently and prioritize changing needs. Previous administrative or real estate experience is preferred.
