Core objectives include coordinating patient appointments, handling pre-registration, verifying insurance, obtaining authorizations, collecting patient payments, providing cost estimates, entering ICD-10 codes, and completing medical necessity checks. The specialist must understand modality-specific protocols to ensure safe, accurate, and compliant patient scheduling. Key Responsibilities Interview patients and physician office staff to coordinate scheduling and pre-registration. Collect accurate demographic and financial information to support billing requirements. Transcribe verbal orders from physicians accurately to schedule appropriate exams. Enter proper ICD-10 codes for registration and billing at the point of scheduling. Verify that orders are accurate and meet payer compliance requirements, including medical necessity checks. Verify insurance eligibility, covered benefits, and obtain necessary insurance authorizations. Provide patients with required test preparation instructions. Provide cost estimates for services as requested by the patient. Educate patients on their financial responsibilities prior to service. Collect pre-payments for non-covered hospital services, co-pays, deductibles, or prior balances. Respond promptly to provider and patient scheduling requests. Utilize appropriate resources when scheduling stat, add-on, or unfamiliar procedures. Process internal accounts or payer rejections related to registration, authorization, and financial clearance errors. Maintain patient privacy by strictly following HIPAA Privacy and Security policies. Communicate with patients, families, and customers using established, professional communication frameworks.| Model behaviors that support an inclusive, welcoming, and respectful environment for diverse staff and patients.
