Job Description

Overview The Operations Coordinator serves as the Director's primary administrative and operational support while coordinating the day-to-day administrative functions of Healthy House. This position ensures the organization operates efficiently by managing office operations, supporting compliance and grant administration, coordinating projects, maintaining organizational records, and facilitating communication among staff, board members, donors, and community partners. The ideal candidate is highly organized, detail-oriented, self-motivated, and passionate about supporting Healthy House's mission of providing a safe, sober, structured environment where women can begin rebuilding their lives in recovery. Essential Responsibilities Executive Support Prepare meeting agendas, reports, presentations, and correspondence. Record and distribute Board and leadership meeting minutes. Screen calls, emails, and visitors while maintaining professionalism and confidentiality. Assist in planning fundraising events, donor appreciation events, and community outreach activities. Operations Coordination Develop and maintain office procedures and operational systems. Monitor office supplies, equipment, and vendor relationships. Coordinate facility maintenance and service providers. Assist with scheduling staff meetings and organizational events. Compliance & Documentation Ensure records are accurate, complete, and compliant with agency policies. Financial & Administrative Support Assist with budget tracking and expense reporting. Process invoices and maintain financial documentation. Coordinate purchasing and inventory. Prepare reports for leadership and the Board of Directors. Human Resources Support Assist with scheduling interviews and orientation. Track required certifications and staff training. Communication & Community Relations Serve as a professional point of contact for donors, volunteers, community partners, and vendors. Assist with newsletters, social media updates, and organizational communications. Coordinate volunteer activities when requested. Project Coordination Track organizational projects and deadlines. Follow up on assignments from leadership meetings.
Pay:
$25.00 - $27.88 per hour Expected hours: 40.0 per week People with a criminal record are encouraged to apply
