391 The Service Department Scheduling Coordinator's primary responsibilities are to work with internal and external customers to provide our Service Team with accurate information and support to ensure the best customer experience is provided, to exceed our customers' needs and expectations. This position reports to the Field Service/Customer Service Manager. Qualifications Dedication to excellence and quality output Honest, Reliable and irreversible Integrity Minimum associate's degree or equivalent experience (2-5 years) in Customer Service/Support, Scheduling Skilled in Microsoft Office programs, excellent written and oral communication is required Proficient skills in professionally handling service calls and phone support Responsibilities The following activities are required in this position: Promote excellence throughout the department Communicate professionally with customers and co-workers Communicate with internal and external customers to find answers and resolutions to customer inquiries or equipment issues. This includes working closely with project managers, sales, engineering, processing, accounting, shipping and vendors as needed. Manage Service Schedule for technicians and Installation group, working directly with Service Manager Prepare Service Techs and Installation Team with accurate information and documentation for site visits. Customer Contact, Location, Job Book Contact customers for site visit confirmation. Provide appropriate documentation as required by customers for site visits Coordinate on-site contractor and equipment rentals as necessary to support Service and Installation Visits Follow-up on parts orders to ensure target delivery dates are met in coordination of Service and Installation visits. This includes working with processing, purchasing, manufacturing, vendors and shipping to meet customer availability and expectations. Review expense reports and time sheets - sign off when Service Manager is unavailable Order entry for Service labor orders Order entry for all KMC Global Install & Repair parts and labor orders Manage JV500 Manage 501 Schedule Manage Meeting Cycle updates, including PRAB/Hapman Install/Startup Schedule Work with In-House Technical team to manage TUL list Work with Field Service Manager on Quarterly Warranty Cost Projections for the Service Department Work with Field Service Manager to build install quotes and send to appropriate persons Additional Tasks as required
