Quality Care Rehab & Autism Center Clinton Township & Shelby Township, MI | In-Person | Full-Time About the Role The Patient Scheduling Specialist is responsible for managing the ongoing appointment schedules of active patients across both clinic locations and home-based services. This role ensures that patients are consistently scheduled in accordance with their authorized treatment plans, that provider schedules are utilized efficiently, and that families are informed and confirmed ahead of their appointments. You will serve as a key point of contact for scheduling-related communication with families and will work closely with clinical and administrative teams to maintain a full, accurate, and well-organized schedule. This role requires strong multitasking ability, a high degree of organization, and the capacity to respond quickly to changes while keeping the broader schedule intact. Experience in a scheduling or coordination role in a healthcare setting is strongly preferred. What You Will Do Build and maintain ongoing patient appointment schedules across multiple providers and locations Schedule patients in alignment with authorized treatment plans, provider availability, and patient availability Contact families to confirm appointments, communicate scheduling changes, and follow up on missed visits Monitor schedules for gaps, conflicts, and inconsistencies and resolve them proactively Coordinate schedule changes resulting from cancellations, patient availability shifts, or patient needs Manage homebased service scheduling including travel time and geographic considerations Maintain accurate scheduling records in the electronic health record system Communicate with clinical staff and internal departments regarding schedule updates and patient needs Document all scheduling activity, patient contacts, and schedule changes in a timely and accurate manner Escalate scheduling issues that cannot be resolved within established parameters to the appropriate contact Hard Skills Experience in a scheduling or administrative coordination role required; healthcare scheduling experience strongly preferred Electronic health record experience preferred Proficiency in Microsoft Office and similar platforms Accurate and efficient data entry with strong attention to detail Ability to manage complex, multiprovider schedules across multiple locations Familiarity with homebased service scheduling logistics preferred Familiarity with HIPAA regulations and their application in a healthcare office setting Clear and professional written communication across email, internal messaging, and patient documentation Soft Skills Clear and professional communication with families — scheduling conversations require patience, accuracy, and a consistent positive tone Exceptional organizational skills — this role manages a high volume of moving appointments and requires structure to stay ahead of changes Quick thinking and adaptability — cancellations, noshows, and provider changes require fast, accurate responses that keep the schedule intact Detailoriented — a missed conflict or incorrect appointment detail has a direct impact on patients and providers Proactive — gaps and problems in the schedule are identified and addressed before they escalate Calm under pressure — highvolume scheduling environments are fastmoving and this role sets the pace Collaborative — works closely with clinical staff and other administrative departments and communicates changes clearly and promptly Compensation & Benefits Competitive pay based on experience Health benefits Paid time off Supportive, teamoriented work environment in a growing pediatric rehab organization To Apply Submit your resume through Indeed.
