If this kind of culture sounds intriguing to you, please read on: About the job Reporting to our talented Financial Advisor, our new Client Service and Operations Associate will provide follow-through and administrative support to both the Advisor and our Founder in delivering on the needs of our clients. As a Client Service and Operations Assistant, you will have a direct impact on the client experience and you will be vital to the organization's success. You will work in a team-centered, collaborative and friendly environmen t . How Will You Support our Leadership? Client meetings are well-coordinated, prepared in advance and completed with clear follow through Meeting preparation materials (reports, paperwork, notes) are completed and delivered to the advisor 1 week in advance of scheduled meetings and are complete, accurate, and prepared with minimal need for follow-up or corrections Follow-up actions (documentation, next steps, client communications) are completed and CRM is updated accurately in a timely manner Client Transactions and Account Changes Are Processed Accurately and Efficiently Money movement requests are processed promptly and in accordance with firm and compliance protocols with minimal errors Account paperwork (new accounts, maintenance, updates) is completed accurately, within the required timeframe and with minimal need for corrections Client Information Is Accurate, Organized, and Up to Date Client data is maintained in a consistent, organized manner that allows others to quickly locate key information without additional explanation Gaps, inconsistencies or missing information are identified and resolved proactively Clients Receive Responsive, Professional, and Supportive Service Serves as the face and voice of the firm by greeting clients, vendors, and visitors in a warm, professional manner Client requests are resolved end to end whenever possible, with status updates provided to the advisor and/or client if resolution will exceed the same business day Office Operations Run Smoothly and Without Disruption Office opening and closing procedures are followed consistently, including proper handling of alarms, door locks, lighting, and security protocols Office environment is consistently maintained in a clean, organized, and client-ready state, including conference rooms, common areas, and reception spaces Mail is processed daily (incoming and outgoing) Office supplies are monitored and reordered in advance Basic technology issues are resolved or routed to the appropriate resource Team Members Are Supported Through Timely and Reliable Operational Assistance Reports (firm-level and client-specific) are generated accurately and delivered timely Requests are prioritized effectively, with urgent or time-sensitive items addressed first and communicated to advisors accordingly What You Can Bring to the Table
- Bachelor's Degree
