This role is ideal for a highly organized, detail-oriented professional who enjoys balancing client service responsibilities with operational coordination. The Operations Specialist will work closely with financial advisors and internal team members to ensure efficient office workflows, accurate recordkeeping, and responsive client support. Job Description As an Operations Specialist, you will play a key role in supporting the day-to-day operations of a growing financial advisory practice. This position combines client relationship management, administrative support, and operational coordination to help maintain a seamless experience for clients and advisors alike. Responsibilities Serve as a primary point of contact for client service inquiries and provide timely support. Coordinate calendars, appointments, and scheduling activities for multiple financial advisors. Track client-related projects and ensure effective communication throughout each process. Maintain accurate client records and update customer relationship management (CRM) systems. Manage incoming calls, mail distribution, and check scanning procedures. Support office operations while ensuring attention to detail and adherence to established processes and compliance requirements. Collaborate with advisors and team members to improve workflow efficiency and client satisfaction. Qualifications Required 2+ years of experience in financial services, operations, administrative support, client service, or a related field. Strong verbal and written communication skills. Excellent organizational and time management abilities with the capacity to handle multiple priorities. High level of attention to detail and accuracy. Proficiency with Microsoft Office applications and business technology platforms. Experience maintaining databases, client records, or CRM systems. Ability to work independently and collaboratively within a team environment. Commitment to professionalism, integrity, and delivering outstanding client service. Preferred Bachelor's degree in Business, Finance, Communications, or a related field. Previous experience supporting a financial advisor, wealth management firm, investment practice, or financial services organization. Familiarity with CRM platforms and financial services technology tools. Experience working in a regulated or compliance-focused environment. Demonstrated commitment to continuous learning and professional development.
