Job Purpose :
The Business Operations Specialist is responsible for supporting key agency business operations, including accounts receivable, billing, client authorization, purchasing, safety, and administrative functions. This position assists the Director of Business Operations and Executive Director to ensure efficient, accurate, and compliant day-to-day agency operations.
Duties & Responsibilities :
Bill funding sources and monitor the aging of accounts receivable monthly, post all payments to remittances in Quantum (billing software). Prepare an Aged Accounts Receivable monthly report. Monitor client authorizations. Oversee Quantum and all necessary functions (including but not limited to billing and troubleshooting). Assist Director of Business Operations with IT Support to maintain computer network and technology plan. Order supplies and equipment as directed. Serve as the agency's Safety Coordinator by conducting all drills as needed, developing the annual safety calendar, and completing all documentation and internal/external inspections as needed (e.g. alarm system, elevator, etc.) Assist Executive Director as needed to include tasks such as mailings, annual report and chili challenge activities. Backup to Receptionist. Adhere to agency policy and procedure and its code of ethical conduct. Additional duties as assigned. Duties and responsibilities may change, and new ones may be added, at any time with or without advanced notice.
Skills and Qualifications:
Management of accounts receivable. Experience with and knowledge of billing software. Proficient in Microsoft Office products. Able to multitask and shift priorities as needed. Able to work with initiative without close supervision. Excellent organizational skills and attention to detail.
Working Conditions:
The worker is subject to indoor environmental conditions: Protection from weather conditions but not necessarily from temperature changes.
Physical Requirements:
Sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.
