Job Description

The mission: Own the daily customer process from inquiry through delivery and closeout, so opportunities get followed up, commitments are clear, and nothing falls through the cracks. Pelican Chemicals, Inc. is a Montana-based specialty chemical manufacturer serving aviation, municipal and industrial customers nationwide since 1993, with facilities in multiple locations across the US. Our products include runway and pavement deicers, water-treatment chemicals and industrial process products. The role We're hiring a dependable, highly organized coordinator to be the day-to-day point of contact for customer inquiries, quotes, orders and shipments. You'll communicate professionally with customers, vendors, carriers and our operating teams; keep everything current in Pelican's ERP system; and raise problems before they become surprises. Success depends on ownership, accuracy, communication and follow-through, the right person enjoys helping customers and making sure the job is actually finished. What you'll own Respond to inbound sales inquiries, gather requirements, and maintain each opportunity and next action in CRM Prepare and send quotations using approved pricing and templates; follow up on open quotes and convert accepted ones into accurate orders Monitor customer-service and order inboxes; verify details and enter accurate sales orders with timely acknowledgements Coordinate with plant personnel to confirm inventory, production timing and shipment readiness Arrange routine freight with approved carriers and track every pickup and delivery through verified completion Prepare and organize order and shipment documents (POs, BOLs, COAs, PODs) and confirm invoicing backup is complete Maintain accurate customer, vendor, carrier and product records in Odoo Keep a visible daily order and shipment queue; resolve routine discrepancies and escalate issues early with the facts summarized What success looks like Customers get timely, professional follow-up and no preventable surprises. Every shipment is monitored to verified completion. Odoo data is accurate enough for others to rely on. Problems surface early with facts, impact and next action identified. What we're looking for 3+ years in customer service, inside sales, order management, logistics coordination or a similar execution-focused role A record of owning work through completion, not just passing messages Excellent professional communication by email and phone — asking useful questions, following up without being pushy, handling concerns calmly Strong organization, accuracy and judgment across multiple orders, dates and stakeholders Comfort learning an ERP system (Odoo experience helpful, not required); familiarity with quotations, shipping documents, freight or B2B order processing strongly preferred Ability to work primarily onsite in Missoula with dependable availability during our busy fall/winter season High school diploma or equivalent required Schedule, compensation and benefits Full-time, primarily onsite, generally Monday-Friday; occasional early, late or overtime hours during peak season. $25-$30/hour depending on experience; hourly, non-exempt, overtime-eligible. Benefits include paid employee health insurance, paid time off and bonus eligibility.
