Job Summary We are seeking a highly organized, tech-savvy Community Operations & Resident Services Coordinator to serve as a key point of contact for residents while providing coordination and administrative support to the Infrastructure Manager and General Manager. This is a highly resident-facing role responsible for helping homeowners navigate major community projects, coordinating resident accommodations and communications, and keeping project-related logistics organized. The position also provides administrative, meeting, communication, and technology support to management. The ideal candidate is proactive, organized, service-oriented, calm under pressure, and an excellent communicator who can effectively work with residents, contractors, vendors, management, and the Board. HOA or community association experience is strongly preferred. Confidentiality is key in handling many issues in this role. Key Responsibilities Resident Services & Community Projects Serve as a primary point of contact for residents regarding road work and other major community projects. Respond to homeowner questions and concerns with professionalism, patience, and a solutions-oriented approach. Coordinate resident accommodations and community resources affected by projects, including trash service, golf cart access/pickup, and other homeowner needs. Assist the Infrastructure Manager with project scheduling, logistics, documentation, and day-to-day coordination. Track project timelines and proactively identify scheduling conflicts, delays, or resident-impact issues. Coordinate Town Hall meetings and Q&A sessions for residents impacted by projects. Coordinate with contractors, vendors, management, and residents to help keep projects moving smoothly. Communications & Administrative Support Draft and distribute community-wide communications, project updates, and resident notices. Create and distribute community surveys. Provide administrative support to the General Manager as needed. Take and compile meeting minutes. Compile bid matrices and materials for Board meetings. Prepare presentations and documents using PowerPoint and Adobe Acrobat Pro. Maintain organized project records, schedules, and documentation. Update community website content; WordPress experience preferred. Technology Support Set up and support Zoom and Microsoft Teams meetings. Prepare conference rooms and meeting technology for meetings. Provide basic troubleshooting for AV and technology issues, including guard house TV and camera systems. Learn and support new software and technology platforms as needed. Required Qualifications Excellent written and verbal communication skills. Strong organizational skills and attention to detail. Ability to manage multiple priorities and deadlines. Exceptional customer service and interpersonal skills. Strong Microsoft Office skills, including Word, Excel, PowerPoint, and SharePoint. Experience with Zoom and Microsoft Teams. Familiarity with Adobe Acrobat Pro. Comfortable troubleshooting basic technology and AV issues. Ability to work independently, take initiative, and anticipate needs. Ability to remain calm and professional when dealing with difficult or frustrated residents. Preferred Experience HOA or community association experience strongly preferred. Customer-facing, resident-facing, property management, or client service experience. Project coordination, scheduling, or administrative experience. Experience with Constant Contact or similar email platforms. WordPress or website content management experience.

Pay:
$62,000.00 - $66,000.00 per year
