About this role:
AAE is seeking an Operations Coordinator to join our Operations team. Reporting to the Operations Manager, you will own the programs, vendors, and systems that keep our office running and our team connected. This role touches every department, so you will become familiar with how the whole company works within your first few months.

Employee Engagement & Culture:
Plan, organize, and execute team programs, including Lunch & Learns, monthly company lunches, quarterly outings, holiday parties, and assist with AAE Cares initiatives and book/film club gatherings. You'll manage program budgets, logistics, calendars, and turnout.
Workplace & Vendor Operations:
Serve as the primary point of contact for office vendors, property managers, maintenance crews, cleaning services, and IT support contacts. Track and resolve facilities and building issues promptly.
Internal Communication & Team Alignment:
Join team meetings to identify cross-departmental communication gaps, route feedback, and assist in reporting updates to and from leadership. Help department leads align team goals with broader company objectives.
Employer Branding & Culture Metrics:
Maintain and manage culture-focused marketing and workplace recognition initiatives, such as survey participation for Best Places to Work .
Talent Acquisition & Recruiting Operations:
Support end-to-end recruitment efforts using JazzHR. You'll draft and update job descriptions based on feedback, manage job syndication, conduct initial candidate screenings, and coordinate interview schedules for hiring managers.
Tech & Tool Administration:
Manage hardware and software inventories, including computer/phone logs and software licensing. Fulfill employee equipment requests and oversee tech/gear setup.
Learning & Enablement:
Lead internal documentation and knowledge sharing by maintaining our LMS & knowledge platforms. Keep process/tool documentation accurate, curate engaging content for Lunch & Learns, and audit existing resources for stale content.
Employee Communications:
Write and send the weekly employee newsletter by gathering content from every department while maintaining a consistent format and meeting established deadlines.
Cross-Functional Operations:
Support the Operations Manager on cross-functional projects as the role grows.
Who You Are:
Experienced Coordinator:
You have 1-3 years of experience in People Operations, HR coordination, office management, executive support, or a related role.
Clear Communicator:
You write cleanly with strong grammar, high attention to detail, and a knack for facilitating cross-departmental dialogue.
Proactive & Accountable Partner:
You follow through on work nobody is checking until it becomes urgent.
Process & Tech Savvy:
You love to find new tools & solutions to solve problems or inefficiencies.
Organized Multi-Tasker:
You can run several unrelated workstreams at once without dropping one.

Preferred Qualifications:
experience planning events for groups of 50 or more; familiarity with Google Workspace and a knowledge base tool (e.g., Guru, Notion, or Confluence).

Work location:
