Physician Scheduler Req #5909 Virtual • Parsippany-Troy Hills, NJ, USA Apply Share Job Description Posted Tuesday, August 4, 2026 at 12:00 AM Job Purpose The Physician Scheduler will be responsible for the coordination of a variety of operational support services. The Physician Scheduler will provide support to our Physician Advisors, clients, and management team as well as assisting in daily office needs and general administrative activities effectively and efficiently. Duties & Responsibilities Schedule peer-to-peer (concurrent denial) calls with medical insurance payers and Physician Advisors Update payer contact activity and scheduling status within the Physician Advisory Portal Maintain client, Physician Advisor, and contact records across internal systems Coordinate communication between Physician Advisors, payers, and clients via phone, email, and virtual meetings Support the onboarding of new Physician Advisors, including documentation, equipment coordination, training logistics, and follow-up Assist with the development and documentation of standardized processes and procedures Provide operational support to remote Physician Advisors, including EMR access setup, maintenance, and troubleshooting Serve as a point of contact for internal and external stakeholders, supporting data collection, reporting, and special projects Present updates and information during team meetings as needed Manage incoming calls, correspondence, mail, and other administrative communications Process and resolve returned or undeliverable mail within client systems Coordinate calendar management and expense reporting for Physician Advisory leadership Other duties as assigned Use, protect and disclose patients' protected health information (PHI) only in accordance with Health Insurance Portability and Accountability Act (HIPAA) standards Understand and comply with Information Security and HIPAA policies and procedures at all times Limit viewing of PHI to the absolute minimum as necessary to perform assigned duties Qualifications High school diploma or equivalent required 1-2 years of administrative experience required 1-2 years of medical terminology knowledge required Knowledge of healthcare administration a plus Knowledge of Electronic Medical Record (EMR) systems is a plus Proficiency in Microsoft Office Suite Adept at using standard computer hardware, email, and internet resources Strong interpersonal skills, ability to communicate well at all levels of the organization Strong problem solving and creative skills and the ability to exercise sound judgment and make decisions based on accurate and timely analyses High level of integrity and dependability with a strong sense of urgency and results oriented Excellent written and verbal communication skills required Working Conditions Must possess a smart-phone or electronic device capable of downloading applications, for multifactor authentication and security purposes
