About Speech Goals Speech Goals is a privately owned pediatric therapy practice serving children and families throughout San Francisco and the Peninsula. About the Role Speech Goals is seeking an experienced, Spanish-bilingual Lead Scheduler to join our growing Administrative Team. This is a hands-on scheduling and team-lead role for someone who enjoys organizing moving pieces, solving problems, communicating clearly, and helping both families and team members navigate a busy pediatric therapy schedule. The Lead Scheduler will work alongside our scheduling team while also serving as a day-to-day resource and first point of escalation for scheduling questions and challenges. This person should be comfortable taking ownership, helping others find solutions, identifying patterns or barriers, and keeping scheduling operations moving efficiently across multiple offices and programs. We are looking for someone who can balance the details of daily scheduling with the bigger picture: supporting families, maximizing schedules, maintaining consistency, and helping the scheduling team work collaboratively and effectively. This is an ideal opportunity for an experienced medical or dental scheduler who is ready to take the next step into a lead position. What You'll Do Scheduling & Daily Operations Coordinate and schedule pediatric therapy appointments across multiple Speech Goals locations, programs, and providers. Manage ongoing schedules, cancellations, rescheduling, openings, and other day-to-day schedule changes. Communicate daily with families, therapists, schedulers, and leadership to ensure scheduling information is accurate and current. Work proactively to fill openings and maximize therapist schedules while considering family needs, clinical recommendations, provider availability, and program requirements. Monitor attendance and scheduling patterns and escalate concerns when appropriate. Help ensure schedule changes, cancellations, and family communications are documented and communicated according to Speech Goals procedures. Anticipate scheduling challenges and work proactively to identify solutions before they significantly affect families or providers. Lead Scheduler Responsibilities Serve as the first point of escalation for day-to-day scheduling questions, conflicts, and complex scheduling situations. Provide guidance and support to schedulers when they need assistance identifying solutions or determining next steps. Help coordinate scheduling priorities and workflow across the scheduling team. Help monitor scheduler workload and daily coverage, redistribute priorities when appropriate, and communicate coverage or capacity concerns to leadership. Support consistent implementation of Speech Goals scheduling policies, procedures, and communication expectations. Help onboard and train new scheduling team members and serve as an ongoing scheduling resource. Reinforce established processes while escalating unusual situations, policy questions, or higher-level concerns to leadership when appropriate. Identify recurring scheduling challenges, communication gaps, or workflow inefficiencies and bring potential solutions to leadership. Help maintain consistency in how scheduling situations are handled across offices and team members. Support coverage planning when scheduling team members are absent or when office needs shift. Partner with leadership on scheduling initiatives, process improvements, and changes as the organization grows. Family & Team Communication Provide warm, professional, and solution-oriented support to families. Communicate confidently in both Spanish and English , verbally and in writing. Navigate difficult or sensitive scheduling conversations professionally and calmly. Collaborate closely with therapists and clinical supervisors while maintaining appropriate administrative boundaries and processes. Help ensure families receive consistent information regardless of which scheduler assists them. Model respectful, responsive, and collaborative communication for the scheduling team. What We're Looking For 3-5 years of appointment scheduling and schedule-management experience in a medical, dental, therapy, or comparable healthcare environment required. Fully bilingual in Spanish and English, with strong verbal and written communication skills. Previous lead, senior scheduler, trainer, or informal team-lead experience strongly preferred. Demonstrated ability to manage a high volume of scheduling changes and competing priorities. Strong problem-solving skills and a natural tendency to look for solutions rather than simply identify problems. Excellent organization and attention to detail. Ability to see both the immediate scheduling issue and its potential downstream impact on families, therapists, and operations. Comfortable providing direction, answering questions, and helping teammates navigate difficult situations. Able to recognize when something can be resolved independently and when leadership needs to be involved. Warm, professional, and family-centered communication style. Calm and effective when handling frustrated families, unexpected changes, or time-sensitive situations. Collaborative and receptive to feedback. Comfortable working in a fast-paced pediatric environment where priorities can shift throughout the day. Familiarity with online scheduling platforms, chat/collaboration tools, electronic records systems, and video platforms preferred. Proud to represent the Speech Goals mission and values. High school diploma or equivalent required. Bachelor's degree not required. Nice to Have Experience scheduling within pediatric therapy, behavioral health, rehabilitation, or another multidisciplinary healthcare environment. Experience supporting children and families receiving Special Education, Regional Center, or other developmental services. Previous experience training or mentoring administrative team members. Experience coordinating schedules across multiple providers or locations. What Success Looks Like A successful Lead Scheduler at
