Job Description

Job Summary MTC Industries is seeking a highly organized and detail oriented Operations Associate to support daily order processing, shipping, export, and customer service activities. This onsite position serves as an important liaison among customers and our Operations, Warehouse, Production, and Export teams to help ensure orders are processed accurately and delivered on time. The ideal candidate is proactive, dependable, comfortable working in a fast paced environment, and eager to develop their knowledge of SAP, logistics, and product based operations.
Responsibilities:
(but are not limited to the following) Accurately process customer orders in a timely manner according to client specifications, including generation of packing slips, Certificates of Analysis (COA), bills of lading (BOL), shipping documentation, and invoices Support the day-to-day activities within the Export Department Responsible for data entry of purchase orders, generating Proforma Invoices and shipping documents Respond to customer inquiries via email or direct contact by phone or through TEAMS. Handling the onboarding of new accounts which includes obtaining customer information and generating new account documentation Liaison to our Warehouse, Production and Operations teams to ensure fulfillment of orders based on inventory and delivery windows. Written and verbal correspondences with customers, internal departments, freight forwarders, government agencies. Secure documentation needed for Product Registration Manage the printing, organizing, and filing of file shipment photos and other documents Prepare courier documents for international shipments Other responsibilities as assigned by
Senior Management Education and Qualification:
High school diploma or equivalent required Associate degree or some college coursework preferred but not required 1-3 years of experience in administrative support, operations, logistics, or customer service roles Proficiency in Microsoft Office Suite (Excel, Word, Outlook) required Experience with SAP or ERP systems is a plus Familiarity with supply chain or product-based business operations is preferred

Excellent verbal and written communication skills Strong attention to detail and organizational skills Familiarity with product categories and general material handling knowledge Energetic, proactive, and positive attitude with a strong sense of urgency Ability to multitask and prioritize effectively in a fast-paced environment Capable of working both independently and collaboratively under pressure Self-motivated with a willingness to learn and grow Strong interpersonal skills; able to collaborate with others and remain composed under pressure Resourceful and proactive in problem-solving and adapting to changing needs
Physical Demands:
Required to reach with arms and use hands and fingers to handle documentation and inventory Required to stoop, kneel, crouch, stand, bend, sit, talk, hear, climb stairs and ladders Must be able to lift and/or move up to 20 pounds Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focus
Work Environment:
Work in an office environment May be in contact with Allergens (Milk, Eggs, Fish, Crustacean Shellfish. Tree Nuts, Peanuts, Wheat, and Soybeans) Potential to move between office and warehouse areas to complete job functions, include close proximity to heavy machinery and powders This position is onsite Review customer account receivables in SAP prior to processing shipments to ensure accounts are in good standing Navigate and utilize internal systems (primarily SAP); work toward becoming a subject matter expert on key functionalities and processes Coordinate outbound shipments efficiently by comparing carrier options to ensure cost effectiveness, accuracy, and timely delivery. Provide shipping documentation to the Warehouse team in advance to support a seamless process Learn MTC's product lines and material usage; collaborate with the Warehouse team to uphold proper storage practices, including FIFO (First-In, First-Out), and ensure compliance with FDA and cGMP regulations We offer a comprehensive benefit package including medical, dental, vision, and 401K with match. Compliance with New York State Human Rights Pay Transparency Law, the annual rate range for this position is 50K to 80K. Please note that the salary information is a general guideline only.
