Job Description

Job Overview We are seeking a dynamic and highly organized Office/Operations Administrator to join our team! This vital role combines office management, administrative support, and operational oversight to ensure our daily functions run smoothly and efficiently.
Duties/Responsibilities:
  • Answer phones
  • Responsible for incoming emails from SFM info@, help desk, and Total Reliance.
  • Prepares, posts, verifies, and records customer payments and transactions related to accounts receivable.
  • Review accounts receivables, send past due notices to customers via email.
  • Maintains and updates customer files, including name or address changes, mergers, or mailing attentions.
  • Research customer discrepancies and past-due amounts.
  • Generates monthly billing statements, work order invoices and janitorial supply invoices.
  • Receives and handles supply requests from customers and distributors for price quotes, purchase orders, order adjustments, and order cancellations.
  • Provides pricing, delivery, and other order information to customers.
  • Interacts with customers to resolve customer problems or concerns.
  • Schedules work orders with crews and customers.
  • Maintain reports relating to operations
  • Supports Field Supervisor and assistant supervisors for customer support relations.
  • Maintain vacuum in/out, ordering, and inventory tracking.
  • Maintains office supplies inventory.
  • Performs other duties as assigned.
Required Skills/Abilities:
  • Excellent organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to anticipate work needs and interact professionally with customers.
  • Ability to work independently.
  • Proficient with Microsoft Office Suite (QUICKBOOKS) or related software.
Education and Experience:
  • High school diploma or equivalent required.
Physical Requirements:
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
