Job Description

Operations & Administrative Specialist Owner Summary:
We are looking for someone to help build processes/ S.O.P.s, build and track systems for KPIs, build training programs for new staff for on boarding and weekly/monthly training for existing staff. They will also use LLM/AI to build automations and build basic apps/features within our customer portal. We need someone who is self managed and will research new tech/ business processes without being asked but works on team projects too. Energy Solutions LLC is seeking a highly organized, detail-oriented Operations & Administrative Specialist to support our growing team. This position is ideal for someone who enjoys building systems, improving processes, organizing information, and helping a company operate more efficiently.

Key Responsibilities Standard Operating Procedures & Process Improvement Develop, document, organize, and maintain company Standard Operating Procedures (SOPs). Work with employees and management to understand existing processes and turn them into clear, repeatable procedures. Review current workflows and identify opportunities to improve efficiency and organization. Help ensure procedures are consistently followed and updated as company processes change. Create checklists, forms, templates, and other tools to support company operations. KPI Tracking & Reporting Track company Key Performance Indicators (KPIs) across different departments. Maintain spreadsheets, dashboards, and performance reports. Assist management with identifying trends, performance issues, and opportunities for improvement. Prepare regular reports for leadership. Training & Employee Development Assist with creating and organizing employee training programs. Develop training materials, manuals, checklists, presentations, and reference guides. Help maintain training records and employee development documentation. Work with managers to improve onboarding and ongoing staff training. Help ensure employees have clear instructions and resources for performing their roles successfully. Technology, AI & Automation Assist with identifying opportunities to use AI and automation to reduce repetitive administrative work. Assist with CRM, spreadsheet, document management, and other business software. Research new tools and technologies that may improve company efficiency. Help implement new systems and processes as the company grows. Administrative & Office Support Assist management with administrative projects and day-to-day office needs. Organize documents, files, reports, and company records. Assist with data entry and maintaining accurate information within company systems. Help prepare internal documents, forms, reports, and correspondence. Support scheduling, organization, and communication between departments when needed. Perform other administrative and operational duties as assigned.
Preferred Qualifications:
Previous administrative, operations, project coordination, or process improvement experience. Experience creating SOPs, policies, training materials, or business documentation. Strong Microsoft Excel and/or Google Sheets skills. Experience working with CRM or business management software. Experience tracking KPIs, preparing reports, or maintaining dashboards. Experience with AI tools, workflow automation, or programs such as Zapier is a plus. Strong computer skills and the ability to quickly learn new technology.
