MISSION OF THE HEALING SANCTUARY
: Our mission is to provide restorative, no-cost 48-hour retreats for women facing cancer, offering a peaceful space for deep renewal, holistic support, and lasting connection.
PRIMARY PURPOSE AND FUNCTION
The operations manager of The Healing Sanctuary (THS) is responsible for overseeing the daily functions and activities of the organization; ensuring efficiency in processes; managing guest, volunteer and service provider relations, communication and service delivery; assuring that the organization adheres to the highest ethical and legal standards of operation, and optimizing resource allocation. Ultimately, the operations manager is responsible for the planning, implementation and impact of an exceptional restorative retreat experience for each and every guest served by THS. Retreats will take place 1-2 times per month and the operations manager is expected to be present at all retreats. Over-arching skills required for this position are: Retreat management
  • planning, executing and closing retreats impactfully and efficiently Customer/guest service
  • supporting guests by attending to their needs, responding to their concerns, and making them feel comfortable and cared for in every possible way Process improvement and optimization
  • improving retreat flow and activities to enhance efficiency and the guest experience, and cost containment; reviewing guests survey responses and other sources of information to make and fulfill recommendations for process improvement and guest impact Interpersonal communication and attention to detail
  • conveying essential information to guests,founders, volunteers, practitioners and donors; recognizing the contributions (time, talent and treasure) of donors and volunteers; thanking all stakeholders Financial reporting and budget management
  • maintain retreat and operational budget parameters provided by founders Team leadership
  • motivating, uniting and guiding all involved in serving the guests of The Healing Sanctuary Donor record-keeping and communication
  • maintaining electronic donor records, issuing gift acknowledgements and donation details, and communicating with donors, as needed
KEY RESPONSIBILITIES
Guest management: scheduling guests, managing and follow-up of document completion,communication and logistics, follow-up thank you Retreat food management: ordering, pick-up and/or delivery of food, on-site food and refreshments presentation and preparation of snacks Volunteer management: scheduling, document completion, communication, follow-up thank you; guiding volunteers to provide exceptional service to guests during meals Acquisition of guest gift bag items, preparation and delivery of gift bags to guests Communication with and scheduling of retreat wellness practitioners, managing of document completion (e.g., code of ethics) by practitioners Retreat preparation (e.g. printing, folders) and follow-up logistics: site scheduling and documentation (contract), clean linens for wellness services, room setup and preparations, clean-up Post-retreat satisfaction and wellness surveys uploaded into Google Sheets; summary of responses compiled, including suggestions for process improvement Efficient and accurately maintained donor records within THS's donor base management software. Electronic or written gift acknowledgement and follow-up communication, if needed; along with payment details. Proficiency in Google Sheets and Canva; Experience with Donor Management Software (e.g.,GiveButter) is a plus
