Full-Time Position Summary We are seeking an organized, proactive Operations Assistant to support the Operations Manager and designated department leaders, including Project Managers and the Design Manager. This role helps keep daily operations running smoothly by coordinating logistics, streamlining administrative processes, aligning resources, and completing tasks accurately and efficiently. The ideal person is detail-oriented, adaptable, and comfortable in a fast-paced environment. By following established workflows and procedures, the Operations Assistant enables the team to focus on strategic priorities and supports successful project delivery. Key Responsibilities
  • Provide administrative support to the Operations team, including managing calendars, coordinating meetings, and handling correspondence.
  • Support the planning, scheduling, and execution of operational projects and initiatives.
  • Maintain operational records, databases, and tracking systems to ensure information is accurate and accessible.
  • Coordinate logistics for events, training sessions, vendor meetings, and internal activities.
  • Prepare reports, presentations, and other materials to support operational decisions.
  • Oversee office supplies, equipment, and vendor relationships to keep daily operations running smoothly.
  • Act as a contact for internal and external stakeholders, directing inquiries and following up as needed.
  • Help improve processes by identifying inefficiencies and recommending practical solutions. Executive and Operational Support
  • Provide senior-level administrative and operational support to the Operations Manager and the COO, increasing efficiency and preserving time for strategic priorities.
  • Coordinate daily operational tasks, including reports, data entry, presentations, client materials, and resource allocation.
  • Serve as the central contact for operational issues and facilitate coordination across departments. Team Collaboration and Coordination
  • Work with departments across the company to ensure compliance with policies, standard operating procedures, and established processes.
  • Coordinate tasks, schedules, and resources for upcoming and active projects.
  • Support Project Managers, Design Manager, and Superintendents with routine tasks and communication among field teams, contractors, and vendors.
  • Schedule resources and equipment, ensuring timely responses to operational needs.
  • Problem-Solving and Process Support
  • Anticipate issues, recommend practical solutions, and take ownership when appropriate.
  • Coordinate with Project Managers or Superintendents on emerging issues and escalate them when necessary.
  • Manage multiple projects while prioritizing effectively under pressure. Administrative and Compliance Support
  • Prepare and file construction permits, forms, and other required documentation.
  • Support weekly management meetings, when invited, by taking notes, preparing reports, and contributing to productive discussions.
Perform additional duties as assigned to support the success of the Operations function. Required Qualifications High school diploma or equivalent required; Associate's or Bachelor's degree preferred. 1-3 years of administrative, operations, or office support experience. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and other types of tools like Google Workplace, Procore, etc. is a plus but not required. Strong organizational skills with the ability to manage multiple priorities and meet deadlines. Excellent written and verbal communication skills. Ability to work independently with minimal supervision while collaborating effectively in a team environment. Preferred Qualifications Experience supporting operations, logistics, or project coordination in a professional setting. Familiarity with project management tools or CRM systems is a plus but not required. Prior experience in a fast-paced, growth-oriented organization.
