Full-Time Position Summary The Scheduling Coordinator is responsible for developing, maintaining, and managing staff schedules to ensure adequate coverage throughout Reliant Living Centers of Oklahoma, Inc. The Scheduling Coordinator works closely with the Director of Nursing, Administrator, and supervisory staff to maintain appropriate staffing levels while controlling unnecessary overtime and ensuring resident care and active treatment needs are met. The Scheduling Coordinator must be organized, dependable, proactive, and able to respond quickly to staffing changes, call-ins, vacations, leaves of absence, and other scheduling needs. A primary goal of this position is to improve scheduling efficiency and reduce avoidable overtime while maintaining safe and appropriate staffing levels. Essential Job Duties and Responsibilities Staff Scheduling Develop and maintain nursing and direct-care staff schedules. Maintain adequate staffing coverage for all assigned buildings and shifts. Ensure schedules are completed and distributed in a timely manner. Review scheduled hours to identify potential overtime before it occurs. Work proactively to fill open shifts using available staff who can work without creating unnecessary overtime. Maintain an accurate list of available, PRN, part-time, and full-time employees. Coordinate schedule changes, shift trades, PTO requests, vacations, and approved leaves. Track staff availability and scheduling restrictions. Maintain accurate documentation of scheduling changes. Ensure employees are scheduled only for positions for which they are appropriately trained and qualified. Call-Ins and Coverage Receive and address employee call-ins in accordance with facility procedures. Immediately work to secure appropriate coverage for vacant shifts. Notify the DON or Administrator when adequate coverage cannot be obtained. Document call-ins, late arrivals, no-shows, and uncovered shifts. Identify employees with repeated attendance or scheduling concerns and report patterns to management. Avoid routinely relying on the same employees for additional shifts when doing so creates unnecessary overtime. Overtime Management Review staffing schedules and projected hours regularly to identify employees approaching overtime. Make reasonable schedule adjustments before overtime occurs when appropriate coverage is available. Maintain an overtime tracking system and provide reports to the DON and Administrator as requested. Identify the causes of overtime, including vacancies, call-ins, PTO, scheduling practices, and staffing shortages. Develop scheduling strategies to reduce avoidable overtime. Use PRN, part-time, and available non-overtime staff appropriately before assigning overtime whenever practical. Communicate potential overtime issues to management before the overtime occurs whenever possible. Never reduce required staffing, resident supervision, active treatment, or necessary resident care solely for the purpose of reducing overtime. Overtime Reduction Incentive The Scheduling Coordinator may be eligible for additional incentives based on demonstrated reductions in avoidable overtime. Incentive eligibility will consider the overall effectiveness of the scheduling program, including: Reduction in avoidable overtime hours. Maintaining adequate staffing coverage. Reduction in open or uncovered shifts. Effective use of PRN and available staff. Timely completion of schedules. Accurate scheduling and documentation. Reduction in last-minute staffing emergencies. Compliance with staffing requirements and facility policies. Maintenance of resident safety, supervision, care, and active treatment. Reducing overtime must never result in unsafe staffing, failure to provide required services, inappropriate staffing assignments, or interruption of resident care. Specific incentive amounts, measurement periods, and eligibility requirements will be established by Administration. Communication and Coordination Maintain regular communication with the DON regarding staffing needs and concerns. Communicate significant staffing problems to the Administrator and DON promptly. Work collaboratively with supervisors and department leadership. Communicate schedule changes clearly and professionally to affected employees. Maintain appropriate confidentiality regarding employee information. Assist management with staffing plans for holidays, vacations, special events, and periods of increased staffing need. Participate in staffing meetings as requested. Additional Administrative Responsibilities As assigned, the Scheduling Coordinator may also assist with: Maintaining scheduling and attendance records. Filing staffing-related documentation. Preparing staffing reports. Maintaining employee contact and availability information. Coordinating transportation and scheduling for resident medical appointments as assigned. Assisting with supply organization or ordering as directed. Other administrative duties assigned by the DON or Administrator. Qualifications High school diploma or equivalent required. Previous scheduling, staffing, healthcare, or administrative experience preferred. Experience in an ICF/IID, long-term care, residential, or healthcare environment preferred. Strong organizational and time-management skills. Ability to manage multiple schedules and priorities simultaneously. Strong verbal and written communication skills. Basic computer and scheduling software skills. Ability to maintain confidentiality. Ability to remain professional when dealing with staffing shortages, call-ins, and schedule conflicts. Must demonstrate reliability, good judgment, and attention to detail. Performance Expectations The Scheduling Coordinator is expected to: Maintain accurate and dependable schedules. Anticipate staffing problems rather than waiting until a shift becomes uncovered. Keep management informed of staffing concerns. Treat employees consistently and professionally. Maintain appropriate staffing levels. Monitor and actively work to reduce avoidable overtime. Maintain accurate scheduling records. Support resident safety, active treatment, and continuity of care. Follow Reliant Living Centers of Oklahoma, Inc. policies and procedures. Work Schedule This position is regularly scheduled Monday through Friday . The Scheduling Coordinator is expected to organize scheduling responsibilities during the regular workweek and prepare appropriately for weekend staffing needs. Any responsibilities outside the employee's regular schedule will be handled in accordance with facility policy and applicable wage-and-hour requirements.
Pay:
$16.00 - $19.00 per hour
