Job Description
Job Overview We are seeking a dynamic and detail-oriented Accounting Operations Coordinator to join our local operations team. In this high-profile role, you will oversee a wide range of accounting and operational functions, ensuring accuracy, compliance, and efficiency across processes that are vital to the success of our short term vacation rental business. Duties Oversee Accounts Payable functions by utilizing overseas and local teams to ensure vendor invoices are processed timely Calculate and prepare monthly invoices for beach service and HOA commissions Process check payments received in the mail Assist corporate accounting team with annual 1099s Process owner reservation revenue, owner charges and credits and ensure monthly owner statements are accurately reflected Review and issue monthly owner statements and submit payments Assist local operations personnel with vendor and owner inquiries regarding their statements and other accounting-related matters Maintain vendor accounts who provide monthly services to properties - approve monthly bills and add/remove properties from monthly service accounts as needed Manage Negative Owner balances, by making calls or sending appropriate correspondence to collect on balances owed Ensure all properties are properly registered with state and local governing tax authorities as they are onboarded and offboarded Maintain a master unit list to record critical information related to owner contracts and annual charges and completing on/off boarding accounting tasks Qualifications Minimum 3 years proven experience in accounting or operations within the short term vacation rental industry Familiarity with a variety of accounting and property management software including Quickbooks, Netsuite, Breezeway, Escapia, TRACK, or similar platforms. Proficiency in Microsoft Office applications with advanced skills in Excel data analysis and spreadsheet management. Strong numeracy skills combined with attention to detail for accurate data entry and account reconciliation. Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment. Effective communication skills for collaborating across teams and supporting audit or compliance activities.
