The Assistant Operations Coordinator ensures that patients are properly scheduled, medical records are properly stored and transferred, and weekly reports are sent out timely. Key ResponsibilitiesScheduling & Office Administration
  • Schedule new and returning patient appointments for inpatient services.
  • Answer incoming phone calls and respond to patient inquiries regarding appointments and services.
  • Confirm upcoming appointments and manage schedule adjustments such as cancellations and rescheduling.
  • Verify and update patient contact information in the electronic medical record (EMR).
  • Maintain accurate patient records and assist with basic administrative documentation. Administrative & Operational Support
  • Document patient outreach and communication related to scheduling and telehealth assistance.
  • Assist with maintaining organized patient files and clinic documentation.
  • Support daily clinic workflows and assist staff with administrative needs.
  • Maintain patient confidentiality and comply with HIPAA regulations.
  • Manage spreadsheets and multiple types of software programs
Qualifications:
Required High school diploma or equivalent Strong organizational and communication skills Comfortable working with computers, scheduling systems Ability to manage multiple tasks in a fast-paced environment Preferred Experience in healthcare administration, medical scheduling, or behavioral health settings Experience with electronic medical records (EMR) systems Skills Strong organizational and time-management abilities Basic technical troubleshooting skills Basic understanding of Microsoft Office programs Time management, frequent questions and organization Attention to detail and accuracy in scheduling and documentation Ability to work collaboratively with clinical staff and providers Work Environment Remote; may require some travel, regular phone and computer use. Frequent communication with team, providers, and facility staff via phone, email, and messaging platforms. May support both in-person clinic operations and telehealth services.
Pay:
$35,000.00 per year
