applications will only be accepted when submitted using the above link) The Role The Associate, Operations & Development is a hands-on execution role responsible for keeping Act To Change's organizational operations, development systems, and administrative infrastructure organized, accurate, and moving forward. Working closely with the Senior Manager, Operations & Development, you will drive day-to-day execution across operations and fundraising, with a particular focus on optimizing, managing, and maintaining existing systems, establishing and maintaining best practices, managing organizational records, and ensuring that administrative and development processes are completed accurately and on time. You will serve as the day-to-day owner of select internal systems and tools, including ongoing CRM maintenance, organizational databases, development tracking systems, and other platforms. You will also support gift processing, donor acknowledgments, external giving platforms, accounts payable and receivable tasks, expense organization, and other back-office functions. This position is well suited for an organized, detail-oriented, resourceful professional who enjoys creating order, improving systems, and making sure the details get done. The Associate will work under the direction of the Senior Manager and Executive Director, translating priorities into consistent execution while proactively identifying gaps, inconsistencies, and opportunities to improve organizational processes. The Associate, Operations & Development reports to the Senior Manager, Operations & Development. The Organization Act To Change is a national 501(c)(3) nonprofit organization working to end bullying for Asian American and Pacific Islander (AAPI) youth. We envision a world where all youth, including within the AAPI community, have the opportunity to grow up feeling proud and supported in the development of their identity and sharing of their stories. What started as a landmark White House initiative in 2015 has evolved into an inspiring, youth-centered organization that ensures AAPI voices are at the forefront of the movement for belonging and inclusion. Act To Change was born from the urgent need to highlight the issue of bullying in schools across the country. While bullying is a universal struggle, AAPI youth often face unique cultural, religious, and linguistic barriers that can keep them from getting the help they need. Today, we don't just advocate for AAPI youth, we tap into their power as leaders and center them as architects of a world without bullying and hate. By placing young leaders at the forefront of our mission, we are transforming schools and communities where belonging is the norm. Act To Change leads educational programming that empowers K-12 youth to lead change and build safer, more inclusive communities, including the Youth Ambassador Program and Homeroom Collective. The Person As the Associate, Operations & Development, you will be a key executor and systems steward for a small, growing national nonprofit. You will help ensure that the organization's records are accurate, systems are clean, deadlines are tracked, communications are completed, and administrative processes run smoothly. You will work closely with the Senior Manager, Operations & Development to translate priorities into action. While the Senior Manager will provide strategic direction and oversee organizational operations and development, you will own the day-to-day execution of many of the systems and processes that make that work possible. You should be someone who sees an outdated spreadsheet and wants to clean it up, notices when a process is inconsistent and wants to create a better one, and takes pride in making sure the details are complete. You will need to be highly organized, comfortable with technology and databases, proactive about follow-through, and able to manage confidential information with discretion. Because Act To Change is a small organization, this role requires flexibility and a willingness to contribute across functions. The successful candidate will be comfortable moving between CRM cleanup, processing a gift, organizing receipts, drafting a communication, updating a website, researching a donor, and troubleshooting an internal system, all while keeping larger organizational priorities in view. Operations, Administrative Execution & Systems (50%) Manage and maintain cross-departmental operational systems and establish best practices across organizational systems, records, files, and workflows. Own day-to-day administration and maintenance of internal tools, databases, and platforms. Manage ongoing CRM maintenance, data entry, record cleanup, and data integrity. Maintain organizational trackers, calendars, dashboards, and shared documentation. Organize expenses and receipts in QuickBooks and support accounts payable and accounts receivable tasks. Execute updates to the Act To Change website and other external platforms. Support internal meetings, team logistics, and other administrative needs. Manage operations and general inboxes for Act To Change Identify operational gaps and implement process improvements with direction from the Senior Manager. Development & Fundraising Operations (40%) Manage gift processing, donor acknowledgments, thank-you notes, and related records. Maintain donor and prospect information in the CRM and external giving platforms, including Benevity. Maintain fundraising and grant calendars, trackers, deadlines, and reporting schedules. Conduct donor, prospect, grant, and funding research and synthesize findings for the Senior Manager. Support grant applications and reports through research, data gathering, and administrative execution. Draft donor and fundraising communications with direction and review from the Senior Manager. Coordinate information gathering, edits, approvals, and distribution. Maintain and organize development assets, including organizational information, program materials, impact data, donor materials, grant resources, and other fundraising documents. Provide administrative and logistical support for fundraising events, donor meetings, campaigns, and other development activities. Executive Support (10%) Draft Board communications and materials with direction from the Senior Manager and coordinate distribution. Support preparation for Board and leadership meetings and track follow-up items. Gather information and prepare materials for organizational reporting and planning. Collaborate across programs, communications, development, and operations to support organizational priorities. Manage the Executive Director's calendar and scheduling needs, coordinating meetings across internal and external stakeholders Qualifications To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Prior Experience 2-4 years of relevant professional experience; equivalent experience will be considered. Experience managing databases, CRMs, spreadsheets, or other organizational systems. Strong administrative, organizational, and project coordination skills. Experience with fundraising, donor relations, nonprofit operations, or development preferred.
