Job Summary Design Showroom Operations Coordinator Part-Time | Up to 25 Hours/Week | $23/Hour | Hybrid position
THE ROLE
We are looking for a highly organized, proactive, and detail-oriented Operations Coordinator for Design Showroom . We are a Showroom to the trade and a custom drapery Workroom. Our Showroom carries a wide range of furniture, blinds, and other products for the design trade. This role sits at the center of our day-to-day operations, helping information, orders, communication, and follow-up move smoothly between our designers, vendors, receiver, Showroom staff, and Workroom staff. This is not a role for someone who simply waits for a task to be assigned. We are looking for someone who naturally takes ownership, notices what needs to happen next, follows through, and keeps things from falling through the cracks.
Job Duties:
ORDERS & PURCHASING
Prepare and process POs, ensuring they are accurate and sent to the correct vendors in Quickbooks Track PO acknowledgements, order status, and outstanding information Coordinate order details between sales, vendors, receiving, showroom, and workroom Follow up on orders that need attention or additional information Keep the team informed of important order updates or changes
COMMUNICATION & DESIGNER SUPPORT
Monitor and organize incoming company email Route requests to the appropriate person and identify time-sensitive items Communicate professionally with designers, vendors, customers, and our internal team Follow up on unanswered requests so important communication does not get lost Help keep designers and the appropriate team members informed as projects and orders move forward
DAMAGE, WARRANTY & RETURNS
Own the follow-up process once a damage, warranty, return, or order issue is identified Gather photos, documentation, and order information needed to address the issue Submit vendor claims and track them through resolution Coordinate replacement parts or products, repairs, returns, credits, or other resolutions Communicate updates and next steps to the appropriate team members Escalate issues when needed and continue following up until they are resolved
FOLLOW-THROUGH & OPEN LOOPS
Track open orders, claims, and outstanding issues Know what is waiting, who owns the next step, and when follow-up is needed Follow up with vendors and team members until items are completed Notice the unanswered email, missing acknowledgement, unresolved claim, or outstanding request and take ownership of moving it forward Help make sure details do not get lost between sales, vendors, receiving, showroom, and workroom

Experience in POs, sales support, customer service, vendor communication, order coordination, and/or operations is a plus. Experience in furniture, interior design, textiles, window treatments, or a related industry is also helpful, but not required.

COMPENSATION & DETAILS
$23/hour | Part-time, maximum 25 hours/week | Hybrid position Work-from-home flexibility available. Because this is a part-time role, we value focused, productive use of scheduled hours and strong time management.
