Job Summary The Operations Assistant is a hybrid part time position. The role supports the day-to-day operational functions of the company, with primary responsibility for customer service, client success, caregiver screening and scheduling, and document control. This role acts as a central point of contact between the office, caregiver team, clients, referral sources, and the Veterans Administration (VA). The role ensures all interactions are tracked, handled timely and professionally, with care, high quality, and compliance, that only the best caregiver candidates progress through the hiring process, caregiver scheduling is handled proactively and timely, and all documents are controlled with attention to detail and compliance. Qualifications High school diploma or GED 10+ years of experience in an office operations support role Compassionate to the needs of the senior community Consistently demonstrate patience, empathy, a cheerful disposition Willingness to work harmoniously with staff, clients, referral sources, the VA Dedicated to our vision, mission, goals Valid driver's license, Social Security Card, dependable transportation with active auto insurance and registration PA Resident, compliance with PA state regulations, pass criminal and reference background checks Strong organizational skills and attention to detail Excellent written and verbal communication skills Comfortable following up persistently and professionally with clients and internal teams Experience with consumer relationship management, customer service, human resource, and/or scheduling tools Proficiency in Microsoft Office, Google Workspace, Adobe Preferred Undergraduate or graduate degree Experience in the non-medical in-home care or medical care industries Familiarity with non-medical in-home care terminology and service offerings Experience coordinating with caregivers, clients, referral sources, VA Experience with auditing and compliance Key Responsibilities Customer Service Answer phone calls, emails, texts from clients, caregivers, referral sources, and VA Track client, caregiver, referral source, VA interactions in agency platform, complete warm transfers to administrator when necessary Support communication between office, caregivers, clients, the VA, referral sources Troubleshoot basic technical issues caregivers may experience Provide reporting to administrator Client Success Handle client calls, texts, emails promptly and with urgency, warm transfer or escalate to the administrator where necessary Provide updates on issues to clients regularly and until their inquiry is fully resolved Troubleshoot basic technical issues clients may experience Gather and track client feedback Provide reporting to administrator Caregiver Screening and Scheduling Assist with screening caregiver candidates Track human resource information in agency platform Track caregiver availability and client visit schedules in agency platform Provide reporting to administrator Document Control Maintain accurate documentation in agency platform Track, scan, store, and destroy agency documents according to agency procedures and compliance requirements Assist with general office operations and other duties as assigned Become a valued part of our team and help enhance the lives of aging adults in our community today!
