Location:
Remote (Greater Waukesha County area, WI required)
Hours:
Approximately 15-20 hours per week
Schedule:
Flexible with 1 weekly in-person meeting in the Greater Waukesha, WI area
Compensation:
$20-25/Hour (Starting at $20, then growing to $25 by year 3 as Employee "owns" the various roles within the position) About Wisconsin Lumber & Pallet Wisconsin Lumber & Pallet helps manufacturers reduce packaging costs, improve supply chain reliability, and eliminate packaging waste. We supply pallets, crates, lumber, export packaging, and custom packaging solutions through a network of sawmills and manufacturing partners across Wisconsin. We are a small growing company that combines responsive customer service, operational excellence, and a commitment to sustainability. We are proud to donate 1% of gross sales toward global forest conservation efforts. To date, we have protected over 10 million rainforest trees. About the Role We are looking for a highly organized and proactive Operations Coordinator to help keep our business running smoothly as we continue to grow. Our hope is that you will grow with the company and become integral to our success. This diverse role will receive/enter/coordinate all customer orders, enter/coordinate vendor orders, manage vendor quote requests, provide excellent customer service, track vendor costs and customer sell prices, assist with CRM detail management, receipt tracking, accounts receivable follow up (rare), and help document operational systems (ongoing SOP work). The ideal candidate enjoys creating order from complexity, following through on details, and providing exceptional internal and external communication. This position is remote but may require weekly in-person meetings in the Greater Waukesha area. What You'll Be Doing Order Management Enter customer orders and vendor purchase orders Track order status from receipt through delivery and invoicing Coordinate with vendors regarding acknowledgements and delivery timing Follow up on active orders and identify potential issues before they become customer problems Process invoices and maintain proof of delivery (POD) documentation Quoting & Sales Support Prepare quote requests, gather and compile vendor pricing Track cost and price activity (current and historical) Maintain quote records and profitability tracking Support customer and vendor communication throughout the quoting process Operations & Systems Maintain CRM records and follow-up schedules Help improve operational processes and documentation Keep systems organized and accurate Assist with reporting and operational visibility Accounts Receivable Support Monitor outstanding invoices Assist with customer payment follow up (rare) Maintain accurate payment records and communication logs Accounts Payable Support Upload receipts to Quickbooks Upload bills to Quickbooks What We're Looking For Highly organized and detail-oriented Strong written and verbal communication skills Able to work independently in a remote environment Sense of urgency to complete internal and external tasks Comfortable managing multiple priorities and wearing multiple hats Proactive problem solver Reliable follow-through Positive and professional attitude Comfortable learning new software and systems Experience That Helps Minimum of 3+ years in a relevant role: Customer service Purchasing Estimating Admin Assistant Operations support Sales support Logistics coordination CRM systems QuickBooks or accounting software What Success Looks Like Orders move smoothly from receipt to delivery Customers receive timely communication Follow-ups happen before reminders are needed CRM, quoting, costing, and operational systems stay organized and accurate Leadership spends less time tracking details and more time growing the business Customers feel confident that things will happen when promised Why This Role Matters This position plays a critical role in helping a small growing business scale successfully.
