Job Description

Position Overview The Operations Coordinator plays a critical role in supporting Streamline Facilities Solutions' nationwide facility maintenance and construction operations. This position is operationally focused and responsible for coordinating subcontractors and vendors across the country to ensure timely, cost-effective, and high-quality service delivery for client work orders and projects. This role requires strong organizational skills, attention to detail, vendor management capabilities, and the ability to operate effectively in a fast-paced environment. The Operations Coordinator will work closely with internal team members, clients, and external service providers to ensure seamless execution of maintenance and construction services. Key Responsibilities Vendor & Subcontractor Management Source, qualify, and onboard subcontractors and vendors nationwide to support service coverage needs. Conduct cold outreach to identify and establish relationships with new service providers in targeted markets. Negotiate pricing, scope, and service expectations in alignment with company standards. Maintain and update vendor database, ensuring compliance documentation (COIs, W-9s, licenses, etc.) is current. Monitor vendor performance and address service quality or compliance issues as needed. Work Order & Project Coordination Assign, schedule, and manage work orders across multiple trades and geographic regions. Utilize work order management platforms such as ServiceChannel, Corrigo, and similar platforms to dispatch, track, and close out work orders. Ensure accurate and timely updates of work order statuses, notes, and documentation. Follow up proactively with vendors to confirm scheduling, progress, completion, and invoicing. Coordinate with internal teams to resolve service delays, scope changes, or client concerns. Client & Team Collaboration Collaborate with internal account managers and operations team members to support multiple client accounts. Provide status updates and documentation to ensure transparency and client satisfaction. Assist in resolving escalated service issues through proactive communication and coordination. Support continuous improvement of operational workflows and service execution processes. Administrative & Systems Management Utilize Google Workspace (Gmail, Sheets, Docs, Drive, etc.) for communication, reporting, and documentation. Maintain accurate records of vendor communications, pricing, and service history. Track project timelines, service metrics, and completion data. Support invoice review and reconciliation processes when required. Qualifications & Requirements 3 - 5+ years of experience in operations coordination, facilities management, construction coordination, or vendor management is preferred. Experience managing subcontractors or third-party service providers preferred. Familiarity with work order management systems such as ServiceChannel, Corrigo, or similar platforms (or willingness and ability to learn quickly). Proficiency in Google Workspace Suite , or strong willingness to become proficient. Strong organizational and time-management skills. Excellent verbal and written communication skills. Comfortable making outbound calls to source and onboard new vendors. Ability to work in a fast-paced, deadline-driven environment. Detail-oriented with strong follow-through and accountability. Bachelor's degree preferred but not required based on relevant experience. Pay:
$50,000.00 - $60,000.00 per year
