Job Description

UPMC Corporate Health Services is hiring a Surgical Scheduling Coordinator to join our Orthopedic Team! This role will work Monday through Friday during standard business hours. The role will require local travel to other UPMC sites. After the training period has been completed, the role will allow a hybrid work schedule. The Surgical Scheduling Coordinator supports prospective block utilization across multiple hospitals by maintaining service-line visibility into standard specialty specific block time, partnering with OR directors/site leads, practice schedulers, surgeon offices, anesthesia and staffing partners, and service-line leadership to identify opportunities to release, fill, consolidate, or escalate underutilized block time. Responsibilities:
Maintain forward-looking visibility into assigned specialty block schedules across ambulatory sites, surgery centers, and selected hospital-based blocks. Review schedules beginning approximately 4 weeks out to identify known PTO, conferences, planned absences, unfilled time, pending cases, and release/reassignment opportunities. Circulate available block time to appropriate surgeons or practices based on service-line priorities, site capabilities, credentialing, equipment availability, and patient needs. Lead or support a 5-business-day utilization review to identify open time, pending cases, authorization issues, equipment needs, credentialing gaps, staffing/anesthesia considerations, and consolidation opportunities. Maintain awareness of operational constraints, including room availability, procedure/site fit, prior authorization timing, equipment, credentialing, Epic waitlists, anesthesia, and staffing when circulating available block time. Coordinate routine touchpoints with OR directors/site leads, service-line leaders, and scheduling partners to align on upcoming open time and required actions . Liaise with surgeon offices and scheduling teams to reinforce timely communication, response expectations, block release needs, and utilization goals. Identify and escalate barriers such as delayed authorizations, medication holds, equipment limitations, credentialing gaps, staffing/anesthesia constraints, surgeon preference conflicts, and decision-right issues. Document recurring issues, follow-up needs, and process gaps to support workflow refinement, role clarity, and future scaling.

Perform other duties as assigned in support of prospective surgical block utilization, service-line coordination, and operational readiness.
