This is a hands-on role for someone who understands that successful home care operations depend on more than filling a schedule. This person will help oversee caregiver scheduling, attendance, client care coordination, caregiver training and supervision, recruiting support, after-hours coverage, and employee communication , while also managing several of our marketing initiatives. We are looking for someone who can think ahead, communicate well, solve problems quickly, and build strong relationships with both caregivers and clients. Key Responsibilities Scheduling & Daily Operations Create and maintain consistent caregiver schedules and monthly calendars. Fill open shifts and caregiver callouts quickly to minimize lost client hours. Monitor the eRSP Visit List daily to ensure caregivers are clocking in and out appropriately and required activities are documented. Monitor caregiver attendance, tardiness, callouts, and compliance with company attendance policies. Work closely with the Operations Manager regarding excessive tardiness, callouts, and other caregiver performance concerns. Complete caregiver coaching and corrective write-ups when appropriate. Be prepared to personally cover an urgent client shift when a last-minute callout cannot otherwise be filled. Introduce caregivers to clients as needed and review the client's plan of care with the caregiver. Client Care Coordination Review current client plans of care and ensure assigned caregivers understand and follow them. Work with the Operations Manager, RN, client, and family when care-plan changes are needed. Monitor caregiver documentation in client handbooks and completion of ADLs in eRSP. Document caregiver and client conversations, concerns, and other important communication in eRSP daily. Communicate changes in client condition, service needs, or caregiver concerns to the appropriate team member. Caregiver Supervision & Training Complete caregiver supervisory visits as needed. Document supervisory visits in eRSP and ensure documentation is maintained in the caregiver's personnel file. Assist with new-hire caregiver orientations. Develop and conduct caregiver training and in-services. Organize monthly staff Zoom meetings for company updates, training, and in-services. Help reinforce company policies, documentation standards, client care expectations, and professionalism. Recruiting Assist with caregiver recruiting completing training during orientation. Help identify qualified caregiver candidates and support the hiring and onboarding process. Assist with maintaining an active caregiver pipeline to support current and upcoming client needs. After-Hours/Weekend Administrative Coverage Provide administrative on-call coverage from Friday at 4:00 PM through Monday at 8:00 AM .- Additional compensation is provided. Monitor the visit list during assigned after-hours coverage. Receive and respond to caregiver callouts and scheduling issues. Work with the Operations Manager to coordinate after-hours coverage and resolve urgent staffing concerns. Ensure client shifts remain covered whenever possible. Marketing & Communication Manage Home Care Plus's TikTok presence , including creating and posting appropriate content. Write and publish a minimum of three articles per month for the Home Care Plus website. Help communicate company updates, caregiver education, and other relevant information to staff. Weekly Department Meeting Come prepared with concise updates regarding: Clients and changes in care Caregiver concerns Open shifts and scheduling issues Callouts and attendance Lost service hours Recruiting needs TikTok activity Other operational concerns Maintain an organized tracking log so information can be provided quickly when requested. What We're Looking For The right person will be: Highly organized and able to manage several priorities at once Comfortable making decisions and solving staffing problems quickly Professional and compassionate when communicating with clients and families Able to hold caregivers accountable while maintaining positive working relationships Comfortable coaching employees and addressing performance concerns Experienced with scheduling and managing callouts Comfortable with technology, social media, Zoom, and online systems Able to write professional, engaging website content Dependable and able to participate in required weekend on-call coverage Willing to step into a caregiver assignment in an emergency when necessary Additional duties may be assigned based on the needs of the company. Home care/Healthcare scheduling experience is required. Experience with eRSP or similar home care scheduling software is a major plus. This Position May Be a Great Fit If...
