Job Title:
Surgical Scheduler/ Senior Administrative Assistant Job Description A leading academic healthcare organization seeks a skilled Surgical Scheduler for the Division of Otolaryngology (ENT) located in New Haven County, CT. This role demands a highly organized professional experienced in coordinating surgical procedures, managing provider schedules, and ensuring exceptional patient service. The position offers a Monday to Friday day shift schedule with the potential for hybrid work flexibility after approximately three months based on performance and training progress. Responsibilities Coordinate surgical procedures, clinic appointments, diagnostic testing, and post-operative visits. Utilize EPIC to manage and prioritize scheduling requests while ensuring accuracy and efficiency. Coordinate surgical documentation, pre-operative requirements, and follow-up care. Build and maintain provider schedules, adjusting for time off, emergencies, and schedule changes. Communicate appointment updates, cancellations, and scheduling changes to patients. Verify insurance, referrals, and patient demographic information. Maintain accurate patient records and documentation within the electronic medical record system. Generate reports, compile clinical data, and support departmental administrative functions. Coordinate meetings, conferences, and provider calendars as needed. Provide exceptional customer service to patients, providers, and referring offices. Support front desk and administrative operations as required. Essential Skills 3+ years of medical scheduling experience. Previous surgical scheduling experience. Experience working within EPIC. Strong knowledge of insurance verification, referrals, and medical office workflows. Excellent organizational, communication, and customer service skills. Ability to manage multiple priorities in a fast-paced clinical environment. Experience supporting provider schedules and coordinating complex patient appointments. Additional Skills & Qualifications Proficiency in EPIC. Skills in surgery scheduling, healthcare, appointment scheduling, calendar management, and administrative support. Work Environment This position is situated in a dynamic healthcare environment with a day shift schedule from 8:00 AM to 5:00 PM, Monday through Friday. After approximately three months, hybrid work flexibility may be available based on performance and training progress. The work involves collaborating with a diverse team in a fast-paced clinical setting, utilizing modern electronic medical record systems and communication tools to deliver top-quality care and coordination. Pay and Benefits The pay range for this position is $25.00 - $32.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
