Possesses the ability to provide excellent customer service skills to schedule outpatient diagnostic exams and special procedures for all Williamson Health locations. Communicates information regarding procedures/preps to physician offices and patients, documents appropriate information to hospital personnel. Maintains all faxes using the Faxcert solution. Consistently uses customer service and telephone skills when managing the scheduling call center and represents Williamson Health in a professional manner. Continuously schedules, reschedules and cancels requested procedures completely and accurately in the Meditech Scheduling Module. Checks voice mail daily. Consistently verifies patient information to accurately select from the MPI and assigns new MR# when MPI search criteria has been completed. Accurately assigns patient visit numbers. Consistently documents beneficial information (in the scheduler notes) regarding the patient to notify hospital staff. Consistently follows scheduling instructions, informs physician office staff or patient of patient instructions provided in the Scheduling module. Completely reviews physician orders to insure accuracy and Medical Necessity requirements. Notifies physician offices when discrepancies exist prior to patient arrival and documents in scheduler notes per process. Consistently reviews faxes through faxcert. Reconciles documents by entering accurate information in the required reference ID fields per faxcert guidelines. Forwards faxes to the appropriate department timely and updates reference ID's when corrected orders are obtained. Knowledgeable of the radiologist schedule for scheduling special procedures and consistently provides the registrar with procedures requiring bed assignments. Distributes and retrieves after hour scheduling books timely Participates in departmental meetings/huddles/etc. and recommends improvement opportunities. Performs other related duties assigned by Manager or Director timely. Maintains open line of communication with hospital employees and physician office staff regarding pre-certification requirements and enters/updates patient's insurance information in the insurance fields during the scheduling process. Recognizes need for change in daily routine; willingly alters lunch/break schedule to accommodate co-workers and department needs. Communicates consistently to other schedulers regarding issues that directly affect the scheduling process. Communicates effectively and consistently with Registration staff regarding scheduling changes and issues that will affect a patient outcome. Reports concerns requiring attention to supervisor or director. Is a problems solver that brings possible solutions with the concerns or problems. Follows standard fax-to-schedule process.
