Job Description

Overview We are seeking a dynamic and highly organized Operations Coordinator to join our team and drive operational excellence across our organization. This pivotal role involves managing daily administrative functions, coordinating vendor relationships, overseeing scheduling, and supporting team management initiatives. The ideal candidate will thrive in a fast-paced environment, demonstrate exceptional communication skills, and possess a keen eye for detail to ensure seamless office operations. Primary Responsibilities Source and locate plant material, trees, and specialty products for commercial landscape projects and tree farm operations by contacting growers, nurseries, and vendors. Research availability, pricing, and lead times to ensure materials are secured in a timely manner. Build and maintain positive relationships with vendors and suppliers while following up on orders and requests. Maintain FMCSA and DOT compliance records, ensuring required documentation, driver files, and company records remain organized, accurate, and audit-ready. Manage company fleet records, including vehicle assignments, driver information, registrations, and fleet documentation. Administer NTTA Toll Tag accounts by maintaining accurate vehicle information, removing inactive vehicles, and adding newly acquired company vehicles. Manage Verizon Connect GPS tracking by assigning devices to the appropriate vehicles, maintaining accurate fleet records, and coordinating the return of unused equipment. Organize and maintain electronic and paper filing systems to ensure company records are accurate and easily accessible. Research information, complete administrative projects, and assist with operational tasks as assigned. Maintain a clean, organized, and professional office environment. Provide support for additional administrative and operational duties as business needs evolve. Qualifications Strong computer proficiency and the ability to quickly learn new software and systems. Excellent verbal and written communication skills. Strong organizational and time management skills with the ability to manage multiple priorities. Self-motivated with the ability to work independently and follow tasks through to completion. Strong research and problem-solving abilities. High attention to detail and accuracy. Professional phone etiquette and customer service skills. Experience in operations, purchasing, fleet administration, construction, landscaping, agriculture, or transportation is preferred but not required.
