Job Description
Summary / Job Objective The Licensing Specialist supports the full lifecycle of agent and agency onboarding, licensing, contracting, carrier appointments, and ongoing maintenance for Premier Health Solutions. This role is responsible for ensuring agent information, licensing records, carrier appointments, required training, and supporting documentation remain accurate, complete, and compliant throughout the agent lifecycle. Working closely with the Strategic Projects Coordinator and internal teams, this position manages day-to-day licensing and contracting activities, communicates with agents, agencies, and carriers, and helps identify and resolve issues that could delay onboarding, contracting, or appointments. The ideal candidate is, above all, detail-oriented, proactive, and a strong critical thinker: someone who catches inconsistencies, researches before making assumptions, takes ownership of their work, and follows issues through to resolution. Licensing processes can be taught; the ability to stay organized, think critically, and maintain accuracy while managing a high volume of work is what makes the difference. Essential Duties and Responsibilities Agent & Agency Onboarding Assist new agents and agencies throughout the onboarding and contracting process, ensuring required information and documentation are complete and accurate. Review onboarding information for completeness and accuracy before moving agents through the licensing agent pipeline. Process ongoing agent updates including agency changes, license information, carrier appointments, and other profile changes. Handle confidential and sensitive agent information securely and in accordance with company policies. Agent Support & Communication Monitor the ACA Support department email inbox and respond to requests and inquiries in a timely and professional manner. Respond to agent and agency questions by phone and email regarding onboarding, licensing, contracting, training, and carrier appointments. Research questions and troubleshoot issues, communicating requirements and next steps clearly. Serve as a reliable resource for agents, agencies, carriers, and internal departments throughout the licensing and contracting process. Process Improvement & Team Support Identify opportunities to improve licensing and contracting processes, workflows, documentation, and overall efficiency. Maintain organized departmental files, records, shared data, and process documentation. Exhibit an "all hands-on deck" approach, supporting as business needs arise. Skills and Qualifications What Matters Most Exceptional attention to detail with the ability to identify inconsistencies, missing information, and potential issues before they become larger problems. Strong critical thinking and problem-solving skills, with the judgment to research issues, determine next steps, and escalate appropriately when needed.
Proactive ownership and follow-through:
able to manage assigned work, track outstanding items, and move tasks forward without constant direction. Highly organized and able to prioritize a high volume of work while maintaining accuracy and meeting deadlines. Technical Skills Proficient in Microsoft Office, including Excel, Word, and Outlook. Comfortable learning and navigating new systems, databases, CRM platforms, and technology quickly. Strong data-entry and data-management skills with a focus on accuracy and completeness. Professional Skills Clear, professional written and verbal communication with the ability to explain requirements and next steps effectively. Self-motivated and able to work independently while collaborating effectively across teams. Able to recognize time-sensitive issues, prioritize appropriately, and work with urgency without sacrificing accuracy. Comfortable adapting to changing priorities, researching unfamiliar issues, and handling confidential information appropriately. Experience & Education Previous experience in licensing, contracting, insurance operations, compliance, agent onboarding, credentialing, administrative operations, or another detail-intensive role is preferred. Health insurance, employee benefits, carrier, agency, or FMO experience is a plus but not required. Strong transferable experience in regulated, compliance-driven, or high-volume operational environments will also be considered. Additional education in Business, Insurance, healthcare Administration, Operations, or a related field is a plus. High school diploma or equivalent required.
