This position plays an important role in creating a welcoming patient experience while helping our office run smoothly and efficiently. Key Responsibilities Manage daily scheduling for 5 providers, laboratory services, and ultrasound, including new and established patient appointments. Schedule and communicate with patients through phone, email, fax, referrals, Phreesia, and third-party referral services. Verify insurance eligibility and benefits utilizing IVR and payer websites. Accurately determine patient financial responsibility, including copays, deductibles, and balances. Obtain and verify required HMO referrals and authorizations. Prepare Good Faith Estimates and ABN documents when needed. Maintain accurate patient records and documentation. Coordinate closely with front office and clinical staff to support efficient patient flow. Assist with general front office duties as needed. Qualifications Previous experience in a medical front office setting is required. Clear and effective English communication, both verbal and written, is required. Proficient knowledge of medical terminology, particularly OB/GYN, is required. Strong communication, customer service, and interpersonal skills. Experience with insurance verification and benefits is preferred. Familiarity with Athena EMR and Phreesia is a plus. Excellent organization and attention to detail. Ability to multitask and stay organized in a fast-paced environment. Self-motivated, dependable, and able to work independently. Positive, compassionate, and team-oriented approach. The ideal candidate is dependable, proactive, professional, and committed to providing excellent patient service. Experience Prior clinic or medical office experience is highly preferred, especially in OB/GYN or women's health settings Demonstrated proficiency with electronic health record (EHR) systems such as Epic, Meditech, Athenahealth, or eClinicalWorks Strong knowledge of medical terminology. Excellent computer skills for documentation review and administrative support tasks Bilingual abilities are a plus to enhance patient service across diverse populations Proven ability to handle medical administrative support duties with professionalism and attention to detail Experience in health information management, clerical support, or front desk roles within healthcare environments Join us in delivering compassionate care through efficient scheduling and administrative excellence.
