Job Description

We are looking to add a scheduler to our scheduling team for an attendant care worker organization. We work to make sure that clients are staffed with care givers in their homes.
Schedule:
Primarily Monday through Friday from 8 a.m. - 4:30 p.m. and occasional Saturday's (rotated amongst scheduling team)
Job Summary:
Under the supervision and direction of the assistant directors, the scheduler is primarily responsible for the scheduling of field employees on assigned caseload, in order to ensure the appropriate provision of service to all clients on a day-to-day basis. Works as part of a scheduling team and is partnered with one Field Employee Supervisor for assigned field employees. Communicates timely with all parties involved with the coordination of client services as needed, creates and changes schedules, distributes duty sheets to assigned field employee and members.
Other duties include:
assistance with verification of field employee timesheets, Quality Assurance calls, coverage of reception phone, and other internal quality review duties as designated below.
JOB DUTIES AND RESPONSIBILITIES
Provides the day-to-day scheduling of field employees on caseload to ensure that all clients needing service are staffed; also officially cancels service(s) per client request. Keeps RMS scheduling system current and updated at all times. Documents all incoming and outgoing calls on the call log database. Checks voice mail at least hourly. Returns all calls timely and based on priority/urgency. Utilizes e-mail system for written documentation/tracking pertaining to employees and/or clients. Provides back-up coverage for other scheduler's caseloads during absences. Assigns field employees to clients according to the plan of care, authorizations, acuity level, employee qualification (PCW vs. CNA vs. SHC), special accommodations and/or preferred caregiver status (if applicable). Reviews duty sheets with field employees at time of hire, when there is an adjustment to duties assigned per plan of care, and when employee starts providing care for a new client. Informs a client of schedule and/or field employee changes promptly. Provides quality review of RMS scheduling calendar/system, including reconciling and following up on data received thru the following reports/lists: employee absence/LOA, client hospitalizations, client on-hold status, staffing needs list, over/under list, etc. Establishes schedule in RMS system and completes initial paperwork (i.e. Client Profile) for new client referrals and updates regularly as needed. Ensures employee schedules are accurate to plan of care and do not exceed amount of time authorized, all scheduled hours are no less than .25hr increments (15 minutes). Ensures employee schedule is appropriate to needs of client (time of day, frequency of service, does not overlap with other services or when client is not home, etc). Communicates all employee concerns to Field Employee Supervisor and/or HR department for resolution and follow up. Accurately documents all information regarding employee or client concerns and any other ancillary notes regarding employee performance as they occur and forwards on to Field Employee Supervisor. Assists with verification of field employee time-slips as needed. Assists department with monthly QA calls, per quota designated by Assistant Director. Assists with general office duties, including but not limited to: filing, office organization, and supply management, as directed. Acts as a positive marketing representative to former, current, and future business connections. Acts as a liaison with personnel, clients, physicians and community agencies. Follows company policies and procedures. Protects privacy and maintains confidentiality of sensitive employee, participant, and agency information (follows HIPAA guidelines). Performs other duties as assigned. Demonstrates willingness to accept and try new ideas and duties. A 3 week notice of intent to terminate employment with ANEW is recommended for this position.
QUALIFICATIONS
High School graduate or equivalent preferred. Ability to read, write, alphabetize and organize. Demonstrates ability to multi-task and to pay careful attention to details. Excellent communication skills, neat appearance, ability to take direction from others. Previous office or other clerical experience desirable. Ability to provide professional and courteous customer (employee) service. Demonstrates solid computer skills. Can easily work with Microsoft Office, database systems, and web based applications. Have an aptitude towards caring for the chronically ill, mentally disadvantaged, physically or developmentally disabled clients. Acceptable personal grooming, cleanliness, polite and tactful personality. Follows company dress code. Ability to meet the physical demands of the job. Ability to successfully handle problem solving solutions. Ability to work independently. Ability to work effectively and harmoniously with coworkers, public, private, governmental agencies and all consumers. Has reliable transportation and appropriate automobile insurance if job requires travel. Has not been convicted of a misdemeanor or felony directly related to providing personal care or other health care services.
PHYSICAL DEMANDS OF THE JOB
Light physical demands. Lifting up to 25 lbs. Must be able to manipulate keyboard. Must be able to read handwritten and/or typewritten material. Must be able to discern colors/color variations. Must be able to view computer monitor.
