Job Summary We are seeking an experienced Shipping & Receiving Clerk to join our Title 14 CFR Part 145 Repair Station team. This is a safety-critical role responsible for maintaining the highest standards of uncompromised safety, quality, productivity, and customer service. You will ensure strict regulatory compliance in accordance with Federal Aviation Administration (FAA) regulations, our Repair Station Manual (RSM), and our Quality Control Manual (QCM). The ideal candidate understands the weight of aviation safety and ensures every outbound component meets approved current technical data, company policies, and customer specifications.
Key Responsibilities Regulatory Compliance:
Ensure all shipping activities comply with Title 14 CFR Part 145, RSM, QCM, and applicable FAA regulations.
Final Inspection:
Inspect outbound aviation parts, components, and documents to verify compliance with Instructions for Continued Airworthiness (ICA/IAW) and current technical data.
Documentation Verification:
Review and verify FAA Form 8130-3, Certificates of Conformance (CoC), logbooks, and other critical airworthiness release documentation.
Secure Packaging:
Package delicate, high-value aircraft components according to ATA Spec 300, customer requirements, and hazmat regulations if applicable.
Traceability Maintenance:
Maintain strict material traceability, serial number verification, and meticulous record-keeping for auditing purposes.
Discrepancy Resolution:
Identify and quarantine any non-conforming products, paperwork errors, or damaged goods, routing them immediately through the proper QC channels.
Logistics Coordination:
Communicate effectively with freight carriers, couriers, and internal departments to ensure on-time delivery and precise inventory tracking.
Qualifications / Education

Experience Experience:
Minimum of 2-3 years of shipping/receiving and/or inspection experience inside an FAA Part 145 Repair Station or Part 121/135 aviation environment.
Regulatory Knowledge:
Strong working knowledge of FAA regulations, airworthiness documentation (Form 8130-3), RSM, and QCM procedures.
Technical Skills:
Ability to read, interpret, and follow technical data, blueprint drawings, and manufacturing/repair specifications.
Detail Orientation:
Meticulous, exceptional eye for detail; zero-tolerance mindset for documentation omissions, shipping address or packaging safety risks.
Computer Literacy Is A Must Have:
Proficiency with inventory management software, ERP systems (e.g., Quantum, Component Control), and standard shipping portals (FedEx, UPS, DHL). Microsoft Office Suite Excel; Word and Outlook.
Physical Demands:
Ability to lift up to [e.g., 50] lbs, stand for extended periods, and safely operate warehouse equipment (forklifts, pallet jacks).
Security:
Ability to pass a mandatory DOT/FAA pre-employment drug screen and background check. Random periodic drug and alcohol screenings will apply. High school diploma or general education degree (GED); or three to six months related experience and/or training; or equivalent combination of education and experience. Essential Duties and Responsibilities include the following. Other duties including that of a safety sensitive nature may be assigned. The Shipping and Receiving Clerk will be responsible for reviewing and sorting incoming packages and deliveries, maintaining inventory control and coordinating the shipping of products via a third-party carrier. Skills necessary for this position include the ability to read documents and follow directions, strong customer service skills and an ability to meet tight deadlines with a sense of urgency. Responsible for receiving all incoming articles, parts and materials. Responsible for meticulous packaging and shipping of articles. Verifies and keeps records on incoming and outgoing shipments and prepares items for shipment by performing the following duties. Receive units from Fed-Ex, UPS, DHL and other freight companies. Initiating receiving inspection forms, and work orders after verifying that proper documentation is included with unit and that all documentation indicates correct and accurate, part numbers, serial numbers, and description of unit. Taking pictures and documentation of any damaged units, and improper receiving packaging. Receiving parts ensuring proper documentation is included with the receiving report, and initiating parts receiving inspection forms. Reporting SUP to Receiving Inspector. Once units are returned to shipping, they require specific documentation that must be verified against units. All documentation must match against original RO as well as unit. Shipping completed units with proper packaging in accordance with FAA guidelines, and verifying that correct documentation is shipped with unit. Taking pictures and documenting how units were returned to customers. Generating Fed-Ex, UPS, DHL and other freight company documentation for both domestic and international shipments. This may include but is not limited to commercial invoices, RAR Letterhead, and Shippers Letter of Instruction. Filing of all receiving paperwork, and maintaining parts files. Maintaining parts room, and keeping shipping supplies and materials in orderly manner. Back-up Support staff with phones when office staff is unavailable. Back-up Materials Manager with parts ordering and tracking when necessary. Supervisory Responsibilities This job has no supervisory responsibilities.
