OPERATIONS MANAGEMENT
- Provides broad management guidance and supervision over several functions including Customer Service and the Warehousing Operation Department.
- Ensures that all required policies and procedures are developed and that business plan strategies, timelines, goals, etc. are monitored and followed.
- Develops operations policies, procedures and standards related to customer service and warehouse.
- Develops and presents reports to Senior Management that requires decisions regarding departmental activities.
- Reviews contracts, agreements and other business documents as needed.
- Prepare quotations according to customers' requests, making sure such quotations are competitive and reasonably profitable at the same time through negotiations with subcontractors etc..
- Visits current and expected new customers to maintain close contact and promotes new business.
- Negotiates with subcontractors such as warehousing, trucking and shipping companies etc. Enters into contracts on conditions reasonable and acceptable for our business model with approval from Senior Management.
- Keeps in close contact with subcontractors when providing logistics services to meet customer requirements.
- Prepares budget for sales and gross profit per customer for each period as requested by Senior Management.
- Analyzes result variances to ensure profitability and makes corrections as needed.
- Prepares invoices to customers, and takes necessary steps for collection.
- Ensures health, safety and sanitation standards are maintained in compliance with the company policies and government regulations.
- Monitors maintenance of facility and equipment.
- Ensures smooth workflow within the Division by directing, coordinating, and supporting communications between the Warehousing Operation and the Customer Service Department.
- Directs daily shipment arrangement, making sure such arrangement and control is done timely and correctly.
- Sets up and updates standard operation procedures (SOPs).
- Resolves complaints from customers by considering and proposing appropriate solutions.
- Promotes continuing education and research to expand knowledge of logistics matters according to customer requirements.
- Ensures customers are satisfied at all times and that the Division provides the highest standards of customer service.
- Prepares monthly warehouse performance forecasts and, in the monthly report to headquarters, describes new warehouse projects and the activity of existing shippers.
- Acquires and maintains proficiency in the company's warehouse management system (WMS), "STYLE".
- Proactively engages in e-commerce (EC) operations, including EDI integration.
- Appropriately arranges staffing for distribution processing (value-added services) and manages its revenues and costs.
- Manages the profit and loss (revenues and costs) for each warehouse shipper.
SUPERVISORY
- Organizes and oversees all warehouse operations on a continuous basis including checking work activities, schedules, space management, work assignments/rotations, break time, overtime assignment and back-up for absent employees.
- Reviews daily work schedules to plan out work and personnel assignments.
- Capitalizes on employees' strengths and assists the Customer Service Department to enhance customer satisfaction and maximize operational efficiency.
- Assists subordinate employees to resolve complex operation problems.
- Conducts interviews, prepares to hire new employees and provides employee orientation.
- Establishes employee goals and conducts employee performance reviews.
- Ensures appropriate allocation of work within the Warehousing Operation Department.
- Encourages cultivation of subordinates for continuous growth.
- Inspects physical condition of warehouse and equipment.
- Handles general employee inquiries and troubleshoots problems.
- Handles and troubleshoots daily employee issues such as hiring, discipline, training and firing.
- Schedules and conducts divisional meetings to keep Division employees informed and up to date.
- Ensures applicable warehouse employees have a forklift license as well as receive forklift training as required by law.
- Plans daily work schedules so that warehouse operations are completed by 5:00 PM.
- Arranges the following day's workforce in advance, on the preceding day.

Reports all irregular issues and problems to Senior Management for solution. Maintains good communication with subordinate employees and outside contacts. Complies with all company policies and procedures. Responsible for maintaining a clean and safe working area and organizing data and documents. Performs special projects and other miscellaneous duties as assigned by Senior Management. Follows the instructions and directions of the President and Secretary as needed. Prepares activity and job reports and submit them to Senior Management. Completes human resources related paperwork. Oversees recruiting, hiring, terminations and other human resources related actions; prepares and coordinates documentation. Job Dimensions (skills, knowledge & abilities) Essential Job Dimensions Communication, Customer Service, Decision Making, Employee Development, Problem Solving, Project Management, Strategic Planning, Team Leading Qualifications Education & Work Experience High school diploma or general education degree (GED); and more than ten years of related experience and/or training; or equivalent combination of higher education and experience. Language Skills Business-level proficiency in both English and Japanese (verbal and written) is required. Working knowledge of Spanish is a plus. Tools & Equipment General office equipment including phones, fax, copier, personal computer, printer, scanner, etc. Software includes the use of Windows operating system, MS Office.

Pay:
$100,000.00 - $120,000.00 per year
